About The Position

The Annual Giving Associate performs project coordination, operational, and programmatic work in support of the University’s annual giving efforts. Reporting to the Assistant Vice President of Alumni Relations and Annual Giving (AVP), this position executes and coordinates annual giving activities in collaboration with the Senior Annual Giving Officer, the Leadership Annual Giving Development Officer, and Athletics Annual Giving. The Annual Giving Associate focuses on campaign coordination, data management and reporting, donor stewardship, and operational execution to ensure the successful implementation of fundraising campaigns and donor engagement activities. The role produces solicitation materials, manages campaign workflows, maintains data and reporting systems, and coordinates donor communications and engagement efforts in accordance with established procedures, policies, and institutional guidelines. This position works independently on day-to-day assignments while following established practices and does not develop fundraising strategy but instead implements and supports strategies developed by senior advancement staff.

Requirements

  • Demonstrated experience in administrative, communications, project coordination, or customer service roles, preferably in a nonprofit, academic, or mission-driven environment.
  • Strong organizational skills with the ability to manage multiple tasks, track details, and meet established deadlines with accuracy and consistency.
  • Demonstrated ability to coordinate projects and manage operational workflows, including establishing schedules, maintaining records, tracking progress, and executing program or project logistics.
  • Analytical skills to review data, identify discrepancies, organize information, and produce routine reports to support operational and program needs.
  • Effective written and verbal communication skills to produce routine correspondence, acknowledgements, and administrative materials, and to interact professionally with internal and external stakeholders.
  • Ability to handle sensitive and confidential information with discretion, sound judgment, and professionalism.
  • Ability to follow detailed guidelines, procedures, and instructions, while working independently on day-to-day assignments and ensuring accuracy and compliance with policies and practices.
  • Proficiency with standard office software and tools, including word processing, spreadsheets, email, calendaring systems, and the ability to learn and use advancement or database systems.
  • General knowledge of fundraising, advancement, nonprofit, or donor engagement concepts, including annual giving and donor stewardship, or the ability to develop this knowledge on the job.
  • Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.
  • Ability to perform evening and weekend responsibilities, with notice.
  • Ability to work in-person on campus.
  • Satisfactory completion of the background check process.
  • Must reside in the State of California.
  • Must furnish proof of eligibility to work in the U.S.

  • Exposure to fundraising, advancement, marketing, or donor communications through employment, internships, or volunteer experience.
