About The Position

The ASC Scheduler serves as the primary point of contact for coordinating and scheduling interventional procedures for the Ambulatory Surgery Center (ASC). This role is essential to ensuring efficient patient scheduling, seamless communication between healthcare facilities, and complete pre-procedure documentation to support safe, timely patient care. The ideal candidate is highly organized, detail-oriented, bilingual (English/Spanish), and has at least 2 years of medical office or healthcare scheduling experience.

Requirements

  • Minimum of 2 years of medical scheduling, healthcare administration, or related medical office experience required
  • Bilingual in English and Spanish
  • Experience with surgical scheduling, ASC scheduling, vascular, interventional, or specialty care strongly preferred
  • Strong understanding of medical terminology, referrals, insurance verification, and prior authorizations
  • Excellent communication and customer service skills
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities in a fast-paced healthcare environment
  • Proficiency with electronic medical records (EMR), scheduling systems, and standard office software

Nice To Haves

  • Knowledge of dialysis access, vascular procedures, or surgical scheduling workflows
  • Familiarity with compliance standards for ambulatory surgery centers
  • Ability to coordinate effectively with multidisciplinary teams and external healthcare facilities

Responsibilities

  • Coordinate scheduling of interventional procedures for ASC physicians
  • Serve as the primary liaison between outside dialysis units, nursing homes, rehabilitation facilities, hospitals, physician offices, and referring departments
  • Follow physician-specific scheduling protocols and ensure timely appointment coordination
  • Obtain and verify all required pre-procedure documentation, including: Physician orders, History & Physical (H&P), Medication lists, Flow sheets, Hospitalization records, Laboratory results, Advanced directives, when applicable
  • Confirm all scheduled appointments within 24–48 hours prior to procedure date
  • Ensure all necessary patient records are complete to support physician treatment planning
  • Communicate scheduled cases promptly to insurance verification staff and monitor completion of insurance authorization
  • Provide administrative and operational support to clinical staff as needed
  • Work closely with the Front Office Manager, Nurse Manager, and ASC Administrator to maintain efficient patient flow
  • Adhere to all Total Vascular Care scheduling policies, procedures, and compliance standards
