About The Position

The Alumni Relations Associate, RAP, thrives in a professional environment where, on a daily basis, they play a key role in managing relationships with members of the Ivey community. They play an integral part in developing, planning, organizing, and executing a wide variety of programs for Ivey alumni who range from current students to those 10 years post-graduation. Relationship with student leaders and recent alumni, and Class Liaisons are critical to this success. Whether independently managing an initiative from start to finish or being a part of a larger team, RAP is always committed to high-quality work and continuous improvement. RAP keeps a close eye on the budget and finds creative ways to work within it while still achieving objectives. An experienced problem solver and team player, RAP is comfortable taking initiative and thinking on their feet. They are highly organized with superior attention to detail, allowing them to successfully manage competing priorities.

Requirements

  • A university degree or relevant college diploma.
  • Minimum of 3 years of relevant experience; experience in a client facing role that includes event management is preferred.
  • Strong client focus and people skills with the ability to build effective relationships with stakeholders including alumni, senior business leaders and students.
  • Highly effective interpersonal skills with a professional presence and manner.
  • Demonstrated tact, diplomacy and discretion in dealing with internal and external stakeholders including senior management.
  • Proven track record of identifying opportunities for innovation and improvement.
  • Demonstrated skill in planning, coordinating and executing large scale special events.
  • Proven ability to exercise independent judgment and flexibility.
  • Excellent oral and written communication skills and the ability to write effectively and persuasively and to converse easily with senior executives, alumni, faculty, staff and service providers.
  • Proven ability to multi-task and prioritize with an eye for detail, producing high-quality work and meeting deadlines in a fast-paced environment.
  • Ability to work independently and effectively as a member of the team to achieve department goals.
  • Flexibility with work hours (occasional evenings, weekends and overnight travel are regularly required throughout the year).
  • Proficient computer skills using Microsoft Office, virtual meeting platforms (i.e. zoom), and an aptitude to quickly adapt to new technologies.
  • Knowledge of website maintenance and social media.
  • The incumbent must be prepared to work additional and sometimes long hours leading up to and during major events.

  • Knowledge of the administrative procedures of the University and the Ivey Business School is considered an asset.

Responsibilities

  • Develop and Manage Programming for Recent Alumni: Innovate, design, develop and implement a comprehensive recent alumni program to engage and educate students and recent graduates (up to 10 years post-graduation) on the strength and pride of the Ivey Alumni Network and build linkages between the student and alumni communities.
  • Develop and/or leverage a variety of programs, events, volunteer and leadership opportunities, and communication strategies to create dynamic, reciprocal and life-long relationships for alumni with the Ivey Business School and the Ivey Alumni Network.
  • Manage and coordinate programs including, but not limited to, Welcome to the Network events.
  • Work with Program Offices to develop and implement alumni programs that benefit both student recruitment and support the goals of the Ivey Alumni Network / Ivey Alumni relations.
  • Assess recent alumni programming on a continual basis and identify changes required.
  • Develop and leverage relationships with recent alumni to promote department initiatives, receive feedback and help identify future alumni volunteer leaders.
  • Attend and participate in bi-annual meetings to fully understand the strategy and vision of the IAN Board and the integral role played by the Alumni Relations team.
  • Recruit alumni volunteers as required to create positive experiences for alumni volunteers at events to encourage recurrent participation.
  • Contributes to the development of the Recent Alumni Program budget, including sourcing and requesting quotes for venues, catering, supplies, printing and other required items, as needed.
  • Monitors budgets, working with vendors to negotiate pricing or suggesting alternative solutions to deliver a great event experience within budget.
  • Partner with the Director, Alumni Relations, on approvals for any expenditures that fall outside of the agreed upon budget plan.
  • Accountable in ensuring the budgets remain on track, invoice payments are processed, and final budget reports are shared.
  • Responsible for Recent Alumni Program budget of ~$95,000.
  • Innovate and Manage the Class Liaison Program, including Volunteer Recruitment and Retention: Oversee and manage the global Class Liaison network of 300+ alumni to ensure each class/section has representation and connection back to the school.
  • Partner with the Director of Alumni Relations to work with outgoing student executives to enlist Class Liaisons and collaborate with Alumni Relations Associate, Recent Alumni Programs to educate them on Class Liaison Network.
  • Support mentorship opportunities between newly recruited Liaisons with experienced Liaisons.
  • Create and maintain a formal onboarding program for Class Liaisons an opportunity to connect this group with School leaders and other programming two times a year.
  • Create and implement an annual communications plan to support a strong relationship between the School, Class Liaisons and their respective classes.
  • Develop and implement an annual virtual Class Liaison Summit to engage the group by providing a platform for them to share best practices and network.
  • Cultivate and manage relationships with Ivey student groups: Welcome student cohorts to the Ivey Alumni Network via in-class presentations, tailored communications, and gifts / swag.
  • Manage, counsel and guide student leaders in financial sponsorship of student initiatives and ensure adherence to Western and CRA guidelines, ensure tracking and reporting of corporate support to student initiatives. Support collection of sponsorship funds, as needed.
  • Work with outgoing student executive to enlist Class Liaisons and collaborate with Alumni Relations Associate, Alumni Programs to educate them on Class Liaison Network.
  • Deliver knowledge of Department procedures to educate and promote engagement with Advancement; Ensure information available to students is accurate, accessible, relevant and consistent.
