About The Position

An Air Export Agent is responsible for coordinating and managing international air freight export shipments from origin to destination. This role ensures cargo is prepared, documented, and tendered to airlines efficiently while complying with export regulations, airline requirements, and company procedures. The agent serves as a primary point of contact for customers, airlines, ground handlers, customs brokers, and transportation providers.

Requirements

  • High school diploma or equivalent; Associate's or Bachelor's degree preferred.
  • Experience in freight forwarding, logistics, supply chain, or air cargo operations preferred.
  • Knowledge of air freight export procedures and international shipping requirements.
  • Knowledge of U.S. export documentation and customs requirements.
  • Proficiency in Microsoft Office (Excel, Outlook, Word).
  • Experience with logistics software or CW1 (preferred).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced environment and manage multiple shipments simultaneously.
  • Strong attention to detail and accuracy.

Nice To Haves

  • Knowledge of IATA regulations and airline cargo procedures.
  • Experience with U.S. Customs and Border Protection (CBP) and AES/EEI filing requirements.
  • Knowledge of Export Administration Regulations (EAR) and export compliance procedures.
  • Experience with TSA air cargo security requirements.
  • Customer service and problem-solving skills.
  • Strong attention to detail and accuracy in documentation.
  • Ability to work independently and as part of a team.
  • Ability to prioritize shipments based on airline cut-offs, customer requirements, and operational deadlines.

Responsibilities

  • Coordinate and monitor air export shipments from booking through departure and final destination.
  • Prepare, review, and process export documentation, including: Air Waybills (AWBs), Commercial Invoices, Packing Lists, Shipper's Export Declarations (EEI/AES filings), Export and customs documentation.
  • Coordinate shipment bookings with airlines and verify flight schedules, capacity, and cut-off times.
  • Communicate with airlines, ground handlers, customs brokers, trucking companies, and customers regarding shipment status and requirements.
  • Arrange pickup, cargo delivery to the airline or warehouse, export clearance, and transportation.
  • Track shipments from pickup through departure and provide proactive updates to customers.
  • Verify shipment details, including pieces, weight, dimensions, routing, commodity, and documentation.
  • Ensure accurate data entry into transportation management systems and logistics software.
  • Resolve shipment delays, damages, discrepancies, documentation issues, and service concerns.
  • Ensure compliance with U.S. Customs and Border Protection (CBP), TSA, Export Administration Regulations (EAR), and company policies.
  • Verify that shipments meet airline and security requirements prior to tender.
  • Manage billing, invoicing, and cost control related to export shipments.
  • Maintain accurate shipment records and documentation.
  • Support customers with export quotes, shipment inquiries, routing options, and service solutions.
  • Coordinate with overseas offices and destination agents to ensure smooth shipment, handoff and delivery.
