About The Position

The Import Agent - Gateway role supports the efficient processing of inbound air freight shipments by assisting with the breakdown of consolidated cargo, verifying shipping documentation, and entering accurate data into internal systems. The position helps maintain shipment visibility by tracking arrivals, organizing documentation, and identifying discrepancies or potential storage risks for escalation. Working closely with internal teams and transportation providers, the role also supports coordination of cargo movement, basic permit and bond documentation, and ensures compliance with standard procedures, providing a strong foundation in gateway operations and import logistics.

Requirements

  • High School Diploma and or GED, plus three to five years of experience in an import department of a freight forwarder or customhouse broker.
  • Strong analytical, decision-making, and critical-thinking skills.
  • Must be able to read, interpret, and compose clear written and verbal communications.
  • Visual acuity required for tasks including, but not limited to, computer work, document review, and data analysis.
  • Must maintain strong organizational skills, confidentiality, and independent work habits.
  • Adaptability to changing priorities and effective professional communication with colleagues and customers.
  • Regular, punctual attendance and compliance with all company policies and procedures; occasional overtime may be required.
  • Must be able to work as part of a functional team including working in an office on a Hybrid Schedule as required by company policy

Responsibilities

  • Assist with the breakdown of consolidated import air freight shipments, including preparing master airway bills (MAWB) and separating into house airway bills (HAWB); verify system data against physical documents for accuracy.
  • Support shipment file setup and basic data entry, ensuring timely and accurate input of shipment information into internal systems.
  • Organize and distribute arrival documentation, confirming completeness and readiness for processing.
  • Track and trace inbound shipments, monitoring arrivals and updating systems to meet internal and customer visibility requirements.
  • Identify and report discrepancies in shipment documentation, counts, or arrival details to supervisors for resolution.
  • Assist with permit and bond documentation preparation for import shipments under supervision, ensuring compliance with requirements.
  • Coordinate with truckers and internal teams to support timely cargo transfer and movement within the gateway.
  • Monitor shipments for potential storage exposure and escalate risks to appropriate team members.
  • Maintain accurate and organized shipment records and documentation in accordance with company procedures.
  • Communicate effectively with gateway, operations, and documentation teams to support smooth inbound freight handling.
  • Escalate issues such as missing documents, delays, or inconsistencies to senior team members.
  • Perform additional gateway support and administrative duties as assigned.
  • Efficient "break down" of consolidated freight shipments imported into the US – Compiling master airway bills and breaking down consolidation into house airway bills. Verify system generated information with actual documents and ensure accuracy.
  • Maintain files: enter file data, including but not limited to -- opening the file, entering and updating online system with applicable data elements, billing the file, issuing applicable forms and documents, and closing the file
  • Communicate clearly, timely and effectively with overseas offices, agents, customers and domestic vendors – notify arrival of shipments, distribute documentation, track movement of shipment from origin to destination which may involve arranging release and delivery at destination according to customer requirements, proactively communicate status of shipments and process “exceptions” (shipments on delayed flights, split shipments etc).
  • Partner with cross‑functional teams and branch members via in-person meetings and calls to quickly resolve freight‑related issues and service disruptions.
  • Handle accounting processes as they apply to the break bulk department - prints invoices for HAWB amends incorrect air freight rates, transfer fees; revises prepaid/collect charges , files claims in case of damaged goods .
  • Perform other duties and projects as assigned.
