About The Position

Pavago is seeking an experienced AIA Billing Specialist to manage construction billing, contracts, bonding, and project documentation for multiple active commercial projects. This specialized role requires experience supporting a U.S.-based general contractor or commercial construction company, with hands-on expertise in AIA G702/G703 billing, Schedule of Values (SOV), retainage, and construction bonds.

Requirements

  • Remote experience supporting a U.S.-based general contractor or commercial construction company
  • Hands-on experience with AIA billing
  • Strong knowledge of G702/G703 payment applications
  • Experience creating and maintaining Schedule of Values (SOV)
  • Experience tracking retainage
  • Knowledge of construction bonding, including: Bid bonds, Performance bonds, Maintenance bonds
  • Strong Microsoft Excel and Office skills
  • Excellent written and spoken English
  • Exceptional attention to detail and deadline management
  • Ability to independently manage multiple active projects

Nice To Haves

  • Buildertrend or similar construction software experience
  • Commercial construction, landscaping, or trades industry background
  • Construction accounting or bookkeeping experience
  • Familiarity with construction financial reporting
  • CRM and project tracking system experience

Responsibilities

  • Prepare and submit AIA G702/G703 payment applications
  • Build, maintain, and update Schedule of Values (SOV)
  • Track retainage and project payment milestones
  • Ensure billing packages are accurate and submitted on time
  • Identify billing issues before they impact project cash flow
  • Organize and manage commercial construction contracts
  • Coordinate bid bonds, performance bonds, and maintenance bonds
  • Prepare and submit required bonding documentation
  • Communicate with bonding companies, municipalities, contractors, and other stakeholders
  • Track contractual requirements and documentation deadlines
  • Maintain project records, milestones, and documentation
  • Update Buildertrend or similar construction management systems
  • Keep project and CRM data accurate and current
  • Organize contracts, permits, billing records, and supporting documents
  • Participate in project meetings and provide status updates
  • Coordinate with clients, contractors, vendors, and project stakeholders
  • Support pre-construction and pre-sales administration
  • Follow up proactively on outstanding documentation
  • Keep leadership informed of billing, bonding, and documentation risks
