About The Position

The role works closely with a small, scrappy team to audit existing tools and processes, identify quick wins, and build and manage automations across the company’s core systems. The specialist will use AI to power smarter internal systems, connect tools reliably, and clearly explain how systems work and how changes affect other roles. There is potential for the work to extend to client projects in the future.

Requirements

• Hands-on fluency with AI as a tool for building workflows, automating processes, and connecting systems.
• Comfort reading and troubleshooting code and recognizing when something is wrong.
• Experience building automations for small businesses.
• Ability to understand the purpose and business context behind technical solutions.
• Strong communication skills, including the ability to make complex systems feel simple.

Responsibilities

• Audit current tools and workflows, identify quick wins, and implement improvements.
• Build and manage automations across HubSpot, PandaDoc, GSuite, and Quo.
• Use AI to develop systems such as auto-responses, quote generation, and PDF creation.
• Connect tools to work together seamlessly while reducing breakage and manual intervention.
• Communicate clearly with the team about how systems work and how changes affect other roles.
• Build, test, and ship practical workflow solutions.
