About The Position

Planned is an AI-native event management platform that helps companies streamline their meetings & events booking process, making it easy to plan successful events while giving finance teams visibility and control over their budget. Planned works with over 200 companies across North America. The company is on a mission to disrupt a $500+ billion industry and seeks brilliant minds and natural leaders. As an Event Supply Specialist, you will source supplier rates and availability at scale, ensuring the Planned marketplace is accurate, responsive, and competitive in real time. This role involves managing a high volume of supplier interactions, maintaining strong relationships, and expanding into new markets. This is an AI-forward role where you will use AI tools daily as a co-pilot, applying judgment, relationships, and process thinking to ensure reliable output. While not requiring technical expertise on day one, curiosity about making AI work harder for the team is essential. This is an entry-level position.

Requirements

Nice To Haves

  • Prior experience in hospitality, events, travel, or marketplace operations.
  • Exposure to AI assistants (ChatGPT, Claude, Copilot) - personal projects count.
  • Bilingual in English and French.

Responsibilities

  • Support the daily operations of the Planned marketplace, monitoring sourcing health, flagging friction points, and helping resolve issues as they come up.
  • Review AI-generated actions and catch gaps, pricing outliers, and missing information.
  • Maintain marketplace quality: accurate listings, up-to-date supplier info, reliable response rates.
  • Be a consistent, responsive point of contact for suppliers and provide platform guidance.
  • Triage inbound supplier requests and escalate where needed.
  • Onboard new suppliers and track performance signals to identify top partners.
  • Identify new market opportunities - cities, regions, or supplier categories where coverage is thin.
  • Source new suppliers and products using AI research tools.
  • Identify areas for improvement in our supply processes and bring them to the team.
  • Partner with the Supply Manager and AI Specialists to test and refine AI-assisted workflows.
  • Keep playbooks and SOPs current as processes evolve.
