The Douglaston Companies is seeking an Affordable Housing Leasing and Compliance Coordinator to join their team in New York, NY. Requirements

  • 1–3 years of relevant experience in NYC affordable housing, property management, leasing, or subsidy processing
  • Working knowledge of leasing, applicant file management, and subsidy or recertification documentation processes
  • Strong organizational, administrative, and follow-up skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency with Yardi Voyager and RentCafe (or comparable property management systems)
  • Strong written and verbal communication skills
  • Strong attention to detail and follow-through are critical for success in this role

Responsibilities

  • Maintain applicant records and track applicant statuses.
  • Enter and maintain applicant guest card activity in Affordable Housing Software (i.e. Yardi, Housing Connect 2.0, Pronto Housing).
  • Schedule intake, leasing, and move-in appointments.
  • Maintain and update waitlists, leasing trackers, and documentation statuses.
  • Assist with running applicant screening and tracking screening results.
  • Assist with move-in coordination and scheduling.
  • Assist with subsidy package preparation, follow-up, and status tracking.
  • Coordinate collection of subsidy-related documentation from applicants, agencies, and internal teams.
  • Support the submission and processing of subsidy paperwork and related lease-up documents.
  • Track subsidy approvals, effective dates, and outstanding items, escalating delays as needed.
  • Assist with rent and subsidy-related administrative follow-up to support timely move-ins and ongoing occupancy.
  • Prepare, organize, and maintain applicant and lease files.
  • Maintain accurate and consistent filing systems.
  • Assist with data entry, vacancy tracking, and internal reporting.
  • Draft and send routine internal and external correspondence.
  • Serve as a primary point of contact for shared inbox and phone inquiries, providing responsive, high-quality customer service and ensuring items are addressed or escalated appropriately.
  • Coordinate calendars, appointments, and general team scheduling.
  • Assist with preparing documents for leasing and operations.
  • Support broader affordable housing leasing and compliance initiatives as needed.
  • Provide general administrative support across the team.
  • Perform other duties as assigned.
