About The Position

The Aesthetic Coordinator is the operational backbone of the studio, ensuring seamless patient experiences by managing the back-end operations. This role is foundational to the success of the providers and the overall flow of the studio. The ideal candidate will be highly organized, proactive, and possess a strong sense of ownership and accountability. Requirements

  • Precision in tasks such as inventory counts, tray preparation, and restocking.
  • Ability to anticipate needs and stay ahead of the schedule.
  • Demonstrated ownership and accountability for the state of the studio.
  • Reliability, as providers and patients depend on timely and prepared service.
  • Availability on Fridays and Saturdays.
  • For part-time positions, a minimum of three days a week is required, including Friday, Saturday, and one weekday.
  • A calm and kind presence suitable for a fast-paced environment.
  • Strong organizational skills and the ability to manage multiple priorities effectively.
  • Reliability, compassion, and a genuine team-first attitude.
  • Flexible availability for either full-time or part-time schedules.

Nice To Haves

  • Experience in aesthetics or medical settings.
  • MA/CNA/LVN/Phlebotomist license.

Responsibilities

  • Prep and verify all procedure trays with precision and consistency, ensuring they are always ready before needed.
  • Open and close the studio according to standard procedures for each shift, including conducting full inventory counts.
  • Maintain treatment rooms and the back office to an impeccable standard, ensuring consistency from room to room and shift to shift.
  • Keep the team aligned on daily goals, studio flow, and provider break schedules before the first patient arrives.
  • Coordinate provider breaks and lunches to ensure the schedule never stalls.
  • Monitor and restock supplies proactively, anticipating needs before items run out.
  • Maintain accurate patient documentation, including charting, before & after photos, and treatment records.
  • Uphold every patient’s dignity, individuality, and right to exceptional care.
  • Support the front desk and concierge experience as needed, which may include checking patients in and out, rooming patients, and assisting wherever the team requires.
  • Undertake special projects as assigned, demonstrating flexibility.
