About The Position

This position supports the Advocacy and Organizing Center by analyzing and preparing financial documents, assisting with budget management, managing grant processes, providing expense reimbursement support, coordinating event logistics, and managing department communications and resources. The role involves maintaining databases, drafting communications, performing errands, attending evening meetings, and occasional travel. The successful candidate will work collaboratively to meet project deadlines and goals, manage multiple tasks, and provide excellent customer service. Requirements

  • High school diploma or GED equivalent.
  • Experience creating invoices and tracking outstanding payments.
  • Proficiency in Microsoft 365, including: Managing Microsoft 365 groups to support targeted and accurate message delivery and resource access.
  • Proficiency in Microsoft 365, including: Creating and managing Microsoft Teams, including user, channel, and general site administration.
  • Proficiency in Microsoft 365, including: Creating and managing Microsoft SharePoint sites, including pages, permissions, and content.
  • Proficiency in Microsoft 365, including: Using Microsoft Excel, including basic data functions.
  • Proficiency in Microsoft 365, including: Creating presentations in Microsoft PowerPoint.
  • Experience planning and coordinating meetings and events, both virtual and in person.
  • Experience managing virtual meetings, including attendee access, role permissions, polling, and other features.
  • Strong basic technical troubleshooting skills.
  • Demonstrated success working collaboratively to meet project deadlines and goals.
  • Strong organizational skills; initiative-taker; proficient at multi-tasking.
  • Demonstrated success managing multiple projects and tasks while supporting a variety of people and groups simultaneously.
  • Strong verbal and written communication skills.
  • Strong people skills and experience providing exemplary customer service.
  • Demonstrated history and/or experience working with communities of color and/or with historically underrepresented groups.
  • Ability to keep sensitive information confidential.
  • Work in person in the WEA office in Federal Way, WA.
  • Provide proof of full COVID-19 vaccination status upon hire.

Responsibilities

  • Analyze and prepare bills, invoices, and vouchers for payment.
  • Assist the Center Directors in the preparation, monitoring, reporting, and presentation of center budgets and other projects.
  • Create and manage the processes for various grants both received and distributed.
  • Provide expense reimbursement training and assistance to staff.
  • Support committees, center programs, and projects, including coordinating event logistics for assigned governance committees and connecting them with department resources to advance their work.
  • Monitor support mailboxes, provide initial customer support, and escalate inquiries to the appropriate resources as needed.
  • Create, maintain, and update department procedures and internal knowledge base resource documents.
  • Manage and maintain department communication groups.
  • Compile, organize, and maintain various databases, working files, online resources, and other information. Generate reports as requested.
  • Coordinate logistics for center events and meetings, both in-person and virtual.
  • Monitor and maintain inventory of office supplies, equipment, and building resources.
  • Draft and contribute to communications, including emails, website content, and presentations.
  • Perform work-related errands as needed.
  • Attend evening meetings and travel occasionally.
  • Other duties as assigned.
