Requirements

  • 1+ years of experience in wealth management, financial services, client onboarding, client service, or a related role preferred.
  • Working knowledge of investment accounts, custodial processes, transfers, rollovers, and financial planning workflows preferred.
  • Exceptional attention to detail, organization, and data accuracy.
  • Strong interpersonal and communication skills with the ability to build rapport and trust with clients and Advisors.
  • Self-motivated, proactive, accountable, and comfortable owning responsibilities from start to finish.
  • Ability to prioritize multiple client cases, funding opportunities, and time-sensitive requests in a fast-paced environment.
  • Tech-savvy, with proficiency in CRM systems and financial tracking tools; Salesforce and Retirement Analyzer experience preferred.
  • Bilingual in English and Spanish preferred (verbal and written).
  • Commitment to ongoing education, compliance, and acting in the best interest of the client.

Responsibilities

  • Guide new and established clients through the setup of Fidelity accounts, ensuring applications, forms, transfer documents, and requirements are completed accurately and timely.
  • Assist prospects and clients with the Client Agreement and Fidelity applications, clearly explaining the process and answering questions during signing.
  • Conduct consistent weekly follow-up on Fidelity account setup, transfers, rollovers, and outstanding requirements until completion.
  • Execute Advisor instructions accurately and in alignment with the client’s financial plan, escalating unclear or incomplete instructions before proceeding.
  • Monitor onboarding work completed by supporting roles and confirm required steps are completed correctly for assigned clients.
  • Open and manage Special Request cases for assigned Advisor(s) and treat each request as a potential transfer or asset-growth opportunity.
  • Keep assigned Advisor(s) informed of client concerns, funding status, delays, NIGOs, risks, and anything that may fall through the cracks.
  • Prepare for and participate in recurring onboarding/advisor meetings with accurate case statuses, next steps, and funding expectations.
  • Own assigned requests end to end rather than relying on the Advisor to confirm that commitments were completed.
  • Identify held-away assets through Retirement Analyzer updates, client conversations, reviews, and service interactions.
  • Create a Salesforce Opportunity for every transfer opportunity being worked and keep the Stage, expected amount, last contact date, and next step current.
  • Own transfer opportunities end to end: client conversation, paperwork, follow-up, transfer, and confirmation of funding.
  • Work the Opportunity list daily, prioritizing items by Owner, Last Contact Date, urgency, and funding opportunity.
  • Log farming and outreach calls consistently using the required naming convention so the activity history is clear.
  • Handle inbound client calls and emails professionally and return client communications by the end of the business day.
  • Complete in-person and in-office client signings and support walk-ins and other client-facing needs.
  • Support the main phone queue and uphold the firm’s answer-rate and client-service standards.
  • Communicate proactively so clients understand what is happening, what is needed from them, and what the next step will be.
  • Log client and prospect interactions in Salesforce on the day they occur.
  • Document meaningful case changes, including funds received, NIGOs, timeline changes, missing requirements, client concerns, or breakdowns in process.
  • Maintain complete and accurate Household, Person Account, Opportunity, Case, Premium, and related CRM records.
  • Correct inaccurate client or household information when identified and escalate information that cannot be resolved rather than working around it.
  • Maintain records and documentation in accordance with firm compliance and recordkeeping standards.
  • Provide coverage for assigned backup Advisor(s) and clients during team member absences to the same service and documentation standard.
  • Collaborate with Advisors, Representatives, Operations, Trade Team, Service Team, Specialists, and other departments so client requests move without unnecessary delay.
  • Support in-office needs including client signings, walk-ins, phone coverage, and other reasonable department responsibilities.
