About The Position

This position exists to support academic advising technology that the Advising Systems team manages, and/or is a liaison, for the undergraduate academic advising program. This position will work closely with the Advising Systems Coordinator for Technology and Support in managing data and functionality of systems used by academic advisors and the Advising Systems team. Additionally, this position will provide other administrative support for the Advising Systems program.

Requirements

  • Bachelor’s Degree.
  • Previous experience working in a professional academic advisor position at a university or college.
  • Experience with Microsoft Office suite, including Excel, Word, Outlook, etc.
  • Experience with leading projects involving a group of people or similar work leading experience.
  • Excellent Oral and Written Communication skills.
  • Experience using a Student Information System (e.g. Banner, Workday Student, PeopleSoft, etc…).

Nice To Haves

  • Experience in delivering training to individuals or groups, including the development of training materials such as video tutorials or procedural guides.
  • At least two years experience working in a professional academic advisor position in at a university or college.
  • Experience with maintaining websites.
  • Experience using Workday Student.
  • Experience with survey instruments (e.g. Qualtrics).
  • Experience maintaining learning management or student retention systems (e.g. Canvas, Blackboard, Navigate360, etc…).
  • Bilingual in Spanish

Responsibilities

  • Troubleshoot technology issues/questions for system that Advising Systems supports and/or manages, including making appropriate and accurate referrals.
  • Add/Update/Review artificial intelligence content as it relates to academic advising in compliance with university and information technology standards.
  • Maintain security permissions in the Student Information System for the various roles in the academic advising program (when applicable).
  • Respond to and complete requests/tasks that are managed by Advising Systems in the Student Information System for college/school academic advising teams.
  • Create/update training materials developed for the academic advising program in partnership with the lead academic advising technology coordinator when technology changes occur.
  • Participate in new technology testing/auditing for technology programs/features academic advisors will use in their work with students.
  • Identify and/or provide solutions to improve use of technology that support both students and academic advisors.
  • Provide training on technology used by academic advisors in the colleges/schools.
  • Serve on and/or attend meetings that impact technology use for academic advisors and the Advising Systems team.
  • Assist in coordinating and organizing Advising Systems training and events.
  • Create/maintain/print/upload Advising Systems unit documents and workflows.
  • Troubleshoot academic advising related inquiries from students, faculty, and staff, even if not technology related.
  • Collect, pull, input, and/or audit data for Advising Systems projects.
  • Answer/respond to Advising Systems email and phone/voicemail account.
  • Attend Advising System team meetings and all-academic advisor meetings.
  • Serve on committees where appropriate.
  • Create, update, and/or maintain content on the university Academic Advising website and SharePoint.
  • Communicate updates (as available) to the academic advising community as technology that impacts academic advisors changes.
  • Other duties as assigned.
