About The Position

The Advising Aide is responsible for collaborating with Academic Advisors to assist new, continuing, and returning students, by supporting them in achieving their educational goals in alignment with Clark State College's mission, vision, and core values. This position also emphasizes facilitating College and community referrals to enhance student retention and successful completion. The Advising Aid is expected to onboard new students and support continuing students through assistance with registration, acclimating to the website, My Clark State Portal, Self-Service, Virtual Bookstore, Blackboard, and outreach.

Requirements

  • Six months to two years of similar or related experience.
  • High school diploma or equivalent required.
  • Takes responsibility for completing assigned tasks accurately and on time; arriving at designated work/meeting locations when expected; being prepared to work and participate.
  • Highly collaborative with excellent communication skills.
  • Cultivates a supportive environment by implementing a trauma-informed culture of care.
  • Serves both internal and external customers in an efficient, timely, and pleasant manner; maintains a professional appearance.
  • Completes work in a timely manner with attention to detail; ability to be depended upon and identify and problem-solve.
  • Collaborates effectively with colleagues, fostering a respectful, inclusive, and supportive workplace to achieve the College's mission, vision, and goals.
  • Familiar with a variety of software and willing to learn new technologies as needed for upgrades; proficient in Microsoft Office applications.
  • Highly organized with strong time management skills and ability to effectively prioritize tasks.

Responsibilities

  • Onboards students to Clark State while reviewing online systems such as Self-Service, virtual bookstore, student email, Blackboard, etc.
  • Assists students with scheduling courses using Student Planning and registration materials.
  • Assists academic advisors with case management, including initial follow up for all Academic Alerts; partnering with academic support services and cross-campus departments to promote student retention and timely program completion.
  • Supports student services general inquiries including, but not limited to, admissions, financial aid, and records and registration.
  • Attends weekly and quarterly advisor meetings.
  • Assists advisors with administrative tasks such as voicemail and email communication when necessary.
  • All other duties assigned by supervisor.
