About The Position

External Relations at the University of Virginia (UVA) is seeking a highly qualified candidate to fill the role of Advancement Associate to join the School of Architecture’s development team. The Advancement Associate will provide general administrative support to the team. They will assist with travel and expense reimbursement, event preparation, scheduling, data entry, and reporting needs. The Advancement Associate will report to the Director of Development, Architecture.

Requirements

  • High School Diploma required
  • At least 2 years of related experience

Nice To Haves

  • A bachelor’s degree with three or more years of professional work experience in an office environment.
  • Proficiency with Microsoft Office programs.
  • Ability to work independently, using sound judgment to navigate obstacles as needed and complete tasks with minimal guidance.
  • Excellent verbal and written communications skills.
  • Prior experience with CRM databases and other marketing or event software such as Events (Planner), Marketing Cloud, Eventbrite, etc.

Responsibilities

  • Prepare materials for donor visits and draft donor correspondence for development officers.
  • Process expenses and reimbursements for development officers in an accurate and timely manner.
  • Perform data entry and provide database management support, including but not limited to generating mailing lists, maintaining, and updating donor information, entering contact reports and proposals, and creating and tracking events.
  • Create and manipulate reports based on a set of criteria provided by the director or development officers.
  • Assist development officers with portfolio management and reporting using Salesforce CRM, Events (Planner), and Tableau.
  • Manage scheduling and meeting coordination for the director and other team members as needed.
  • Prepare board meeting and event materials and provide event support as needed.
  • Generate and track stewardship reports and acknowledgement letters for donors.
  • Enter and track gift processing requests.
  • Provide general office support as needed including editing correspondence, answering phone calls, and coordinating travel.
  • In addition to the above job responsibilities, other duties as assigned.
