As we continue to grow our impact, we are looking for an enthusiastic Advancement Coordinator to join our team. As a key member of the Advancement team, the Advancement Coordinator will provide essential administrative, operational and database support to help achieve our fundraising goals. This position plays a key role in maintaining accurate donor information, supporting donor journey activities, and assisting the Advancement team with scheduling, expense tracking, and other administrative tasks. The ideal candidate is highly organized, proactive, exercises sound judgment, anticipates needs, and enjoys providing exceptional executive and operational support. They thrive behind the scenes, enabling fundraising success through collaboration, discretion, and attention to detail. This position will be a vital role, with potential for growth, on a small, successful, and motivated team working to implement our five-year fundraising strategy. The ideal candidate will have exceptional interpersonal, communication and time management skills with a passion for wildlife and nature conservation. Requirements

  • A degree in fundraising, business, communication, marketing or a similar field of study or work experience equivalent.
  • Minimum 2 years of experience working in an administrative role in a charity or non-profit with donor exposure or comparable setting.
  • Client-facing experience in a fast-paced, complex, professional workplace.
  • Proficiency in working with Microsoft Office Suite required (Word, PowerPoint, Excel, Outlook, Teams).
  • High attention to detail and a strong commitment to data accuracy.
  • Clear written and verbal communication skills.
  • Highly organized with the ability to balance multiple deadlines while maintaining accuracy and responsiveness.
  • Strong interpersonal skills and the ability to work effectively across teams.
  • Comfortable working independently and collaboratively in an environment where priorities and processes evolve.
  • Proven ability to handle sensitive and confidential situations, demonstrating poise, tact and diplomacy.

Responsibilities

  • Support the development of materials such as proposals, reports, acknowledgment letters, and donor correspondence.
  • Coordinate donor meetings and communications in partnership with the Advancement team, ensuring all donor engagement activities align with established portfolio management practices.
  • Oversee the timely mailing of donor letters, receipts, holiday cards, and other stewardship correspondence.
  • Provide logistical and administrative support for events, meetings, campaigns, and stewardship activities.
  • Maintain accurate donor records, contact reports, actions, and pipeline activity in the donor database (Raiser’s Edge NXT), and mailing lists in Mailchimp, to support relationship management and fundraising strategy.
  • Monitor data integrity and ensure donor records, contact reports, and fundraising activities are entered accurately and consistently.
  • Generate donor reports, prospect lists, dashboards, and pipeline summaries to support prospect strategy, fundraising campaigns, donor stewardship, and performance tracking.
  • Support gift processing, donor acknowledgements, and data quality initiatives to ensure timely and accurate donor records.
  • Coordinate donor meeting logistics, prepare briefing materials, and track follow-up actions.
  • Track and process the Director of Advancement expense reports, credit card reconciliations, and invoices in a timely and accurate manner.
  • Manage the fundraising and stewardship calendar, including scheduling external and internal meetings, tracking deadlines, and anticipating and proactively resolving scheduling conflicts.
  • Assist in preparing presentations, meeting materials, briefing notes, and correspondence for the Director of Advancement.
  • Serve as a liaison for internal and external communications, ensuring professional and timely responses.
  • Provide flexible administrative support across the organization as needed.
  • Handle special projects and perform other duties as assigned.
