About The Position

Provides clerical and administrative support, including scheduling appointments in Composite Health Care Systems (CHCS/AHLTA) or MHS GENESIS for various medical care types. This role involves calling patients to schedule, reschedule, or cancel appointments, particularly for specialty care referrals within the MTF. Additionally, the position functions as a medical records technician, responsible for processing and maintaining inpatient, outpatient, or ambulatory procedure unit medical records. This includes compiling or extracting medical records data to ensure compliance with regulatory requirements.

Requirements

  • Fully qualified typist (computer keyboard) with a minimum of 50 WPM.
  • General medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • Proficiency in English language, including correct grammar, spelling, punctuation, capitalization, and format for written correspondence and reports.
  • Ability to communicate effectively, both orally and in writing.
  • General office administrative and clerical skills, including receptionist duties and answering telephones.
  • Ability to use standard office equipment (computers, typewriters, copiers, fax machines, telephone systems, office automation systems) for medical record maintenance.
  • General knowledge of Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards and Accreditation Association for Ambulatory Health Care (AAAHC) for complete, prompt, and accurate health records.
  • Basic medical terminology.
  • At least one year in medical office scheduling, in an office setting, or at least one year in relevant experience or specialized Registered Health Information Technician (RHIT) or Registered Health Information Administrator certification.
  • Ability to carry 25-50 pounds and reach high shelving units with assistance.
  • Knowledge of Armed Forces Health Longitudinal Technology Application (AHLTA).
  • Knowledge of Composite Health Care Systems (CHCS) and/or MHS GENESIS.
  • Knowledge of Defense Enrollment Eligibility Reporting System (DEERS).
  • Knowledge of Military Filing System (by sponsor social security number, terminal digit order, color-coded and blocked filing system).
  • Knowledge of contents of a military medical record, layout, sections, family member prefix designation, forms used in a MTF, and medical record tracking procedures.

Responsibilities

  • Schedules appointments in Composite Health Care Systems (CHCS/AHLTA) or MHS GENESIS for primary care, specialty, and subspecialty medical care.
  • Calls patients to schedule, reschedule, and/or cancel appointments as needed, including for consult/referral specialty care.
  • Serves as a medical records technician to process and maintain inpatient, outpatient, or ambulatory procedure unit medical records.
  • Compiles or extracts medical records data to ensure compliance with regulatory requirements.
  • Answers the main office phone line, directs calls, and takes messages.
  • Arranges and schedules medical appointments, determines patient eligibility, and makes referrals.
  • Maintains appointment schedules using government computer systems and standard protocols.
  • Validates patient demographic information and makes necessary updates.
  • Maintains accurate and up-to-date patient schedules and logs using government computer system tools.
  • Obtains updates and files medical records, including test results or documentation not yet filed.
  • Organizes and researches patient records, extracts needed information, and reviews for completeness and accuracy.
  • Initiates and locates patient medical records, maintaining them in accordance with prescribed directives.
  • Conducts daily pull, delivery, and retrieval of patient records, ensuring their arrival prior to appointments.
  • Prepares reports regarding record statistics.
  • Participates in records review as part of the facility's quality assurance program.
  • Retires medical records in accordance with regulatory procedures and guidelines.
