About The Position

Provides clerical and administrative support, including scheduling appointments in Composite Health Care Systems (CHCS/AHLTA) or MHS GENESIS for various medical care types. This role involves calling patients to schedule, reschedule, or cancel appointments, including specialty care referrals. The position also functions as a medical records technician, responsible for processing and maintaining inpatient, outpatient, or ambulatory procedure unit medical records, and compiling or extracting data to ensure regulatory compliance.

Requirements

  • Fully qualified typist (computer keyboard) with a minimum of 50 WPM.
  • General medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • Proficiency in English language, correct grammar, spelling, punctuation, capitalization, and format to prepare and edit written correspondence, reports, and transcribed material.
  • Ability to communicate effectively, both orally and in writing.
  • General office administrative and clerical skills to perform receptionist duties and answer telephones.
  • Ability to use standard office equipment, such as computers, typewriters, copiers, fax machines, telephone systems, and office automation systems.
  • General knowledge of Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards; Accreditation Association for Ambulatory Health Care (AAAHC) for complete, prompt, and accurate health records.
  • High School diploma or General Educational Development (GED) equivalency.
  • Basic medical terminology required.
  • At least one year in medical office scheduling, in an office setting, or at least one year in relevant experience or specialized Registered Health Information Technician (RHIT) or Registered Health Information Administrator certification required.
  • Ability to carry 25-50 pounds and reach high shelving units with the assistance of step ladders to retrieve and file medical records.

Nice To Haves

  • Experience with Armed Forces Health Longitudinal Technology Application (AHLTA).
  • Experience with Composite Health Care Systems (CHCS) and/or MHS GENESIS.
  • Experience with Defense Enrollment Eligibility Reporting System (DEERS).
  • Familiarity with Military Filing System – by sponsor social security number, terminal digit order, color-coded and blocked filing system.
  • Knowledge of the contents of a military medical record, layout, sections, family member prefix designation, forms used in a MTF, and medical record tracking procedures.

Responsibilities

  • Schedules appointments in Composite Health Care Systems (CHCS/AHLTA) or MHS GENESIS for primary care, specialty, and subspecialty medical care.
  • Calls patients to schedule, reschedule, and/or cancel appointments, including those for consult/referral specialty care within the MTF.
  • Serves as a medical records technician to process and maintain inpatient, outpatient, or ambulatory procedure unit medical records.
  • Compiles or extracts medical records data to ensure compliance with regulatory requirements.
  • Answers the main office phone line and directs calls.
  • Arranges and schedules medical appointments and determines patient eligibility for services.
  • Maintains appointment schedules using government computer systems and standard protocols.
  • Validates patient demographic information prior to booking appointments.
  • Maintains accurate and up-to-date patient schedules and logs.
  • Obtains updates and files medical records, including test results or documentation not yet filed.
  • Organizes and researches patient records, extracts needed information, and reviews records for completeness, accuracy, and consistency.
  • Initiates and locates patient medical records and maintains them in accordance with prescribed directives.
  • Conducts daily pull, delivery, and retrieval of patient records, ensuring their arrival prior to appointments.
  • Prepares reports regarding record statistics.
  • Participates in records review as part of the facility's quality assurance program and in accordance with accreditation standards.
  • Retires medical records in accordance with regulatory procedures and guidelines.
