About The Position

The Advanced Medical Support Assistant (AMSA) will provide administrative support for Primary Care at the Dayton VA Medical Center. This role involves managing patient reception, customer service, appointment scheduling, and clinic access for multiple providers and units. The AMSA will be responsible for verifying patient information, maintaining accurate records, and coordinating appointments according to VA policies. The position requires excellent communication and interpersonal skills to interact with veteran patients, handle sensitive situations, and educate them on relevant resources. The AMSA will also perform general administrative duties and collaborate with healthcare teams to ensure efficient patient care.

Requirements

  • 2 to 3 years of experience OR certification from an accredited institution related to medical administration
  • Fluent English (speak/read/write)
  • Customer service/receptionist skills
  • Experience with appointment scheduling systems
  • CPRS/EHR data entry accuracy
  • Insurance information collection/scanning
  • Tact/diplomacy with veteran patients

Responsibilities

  • Manage reception, customer service, appointment scheduling, and clinic access for multiple providers/units.
  • Verify patient identity and maintain accurate demographic, insurance, and medical record information.
  • Schedule, reschedule, and coordinate patient appointments according to VA policies, clinic procedures, and mandated timelines.
  • Monitor consults, recalls, and return-to-clinic lists; escalate scheduling or access issues to supervisors.
  • Provide professional phone and in-person support, including handling sensitive or frustrated patient interactions with tact and diplomacy.
  • Process and integrate patient records accurately into CPRS.
  • Educate veterans and families on insurance collection requirements, Beneficiary Travel, and transportation resources.
  • Coordinate with providers and team members through daily huddles and PACT meetings to prioritize workflow and patient needs.
  • Perform general administrative duties, including operating office equipment, distributing materials, and communicating messages.
