About The Position

This position is for an Advance Office Clerk at the 15th Medical Group, Hickam AFB. The role involves managing office operations, including answering phones, scheduling appointments, maintaining patient records, and preparing reports. The clerk will utilize government computer systems and standard protocols to ensure efficient patient flow and accurate record keeping. The position requires basic medical terminology and the ability to handle sensitive patient information with care and accuracy.

Requirements

  • High School diploma or General Educational Development (GED) equivalency.
  • Basic medical terminology required.
  • Basic Life Support (BLS) certification.
  • At least one year in medical office scheduling, in an office setting, or at least one year in relevant experience or specialized Registered Health Information Technician (RHIT) or Registered Health Information Administrator certification required.
  • The work can be sedentary, but may involve walking, standing, sitting or bending.
  • Must be able to carry 25-50 pounds.
  • Must be able to reach high shelving units with the assistance of step ladders to retrieve and file medical records.

Responsibilities

  • Answers main office phone line, directs calls, and takes messages.
  • Arranges and schedules medical appointments, determines patient eligibility for services, and relays general instructions.
  • Supports PCM by name processing for appointments and appropriate access to care timeframes during allocation of standard appointment types.
  • Maintains appointment schedules using government computer systems and standard protocols, validating patient demographic information and making necessary updates.
  • Maintains accurate and up-to-date patient schedules and logs, utilizing government computer system tools for maintenance of appointment slots, rescheduling, or cancellation processing.
  • Calls patients as needed to schedule, reschedule, and/or cancel appointments.
  • Promotes consult/referral specialty medical care within the MTF.
  • Obtains updates and files medical records, including documentation requested by healthcare providers.
  • Organizes and researches patient records, extracts needed information, and reviews records for completeness, accuracy, and consistency.
  • Initiates and locates patient medical records, maintaining them in accordance with prescribed directives.
  • Conducts daily pull, delivery, and retrieval of patient records, ensuring their arrival prior to appointments.
  • Prepares reports regarding record statistics as necessary.
  • Participates in records review as part of the facility’s quality assurance program and in accordance with accreditation standards.
  • Retires medical records in accordance with regulatory procedures and guidelines.
