About The Position

The Unit Secretary functions under the direction of the Nurse Manager and Assistant Nurse Manager to facilitate the provision of safe, age-appropriate, and culturally aware patient care by performing clerical and receptionist functions. This includes computer order entry, retrieval of data, maintaining unit supplies, transporting supplies/equipment/patient medications, preparing and maintaining patient charts, providing customer service, and acting as the central communication source on the nursing unit. Responsibilities

  • Facilitate the provision of safe, age-appropriate, and culturally aware patient care.
  • Perform clerical and receptionist functions including computer order entry and data retrieval.
  • Maintain unit supplies and transport supplies, equipment, and patient medications.
  • Prepare and maintain patient charts.
  • Provide customer service and act as the central communication source on the nursing unit.
  • Partner with the healthcare team, patient, and family to provide excellent customer service.
  • Protect patient rights and dignity at all times.
  • Build relationships with the family and maintain confidentiality.
  • Participate in hourly patient rounding.
  • Maintain paper medical records and scan documents into the electronic medical record.
  • Resolve patient concerns and proactively offer assistance and comfort measures.
  • Answer telephone calls and patient call lights, communicating patient needs to the healthcare team.
  • Facilitate patient admission, transfer, and discharge.
  • Track bed activity and notify housekeeping of patient discharge.
  • Assist in unit flow management during code situations.
  • Request patient escort when appropriate and facilitate patient direct admission.
  • Monitor data entry for key patient safety information.
  • Support initiatives of the healthcare team and participate in interdisciplinary rounds as a scribe.
  • Perform charge reconciliation, notify nurses of physician arrival, and perform audits.
  • Perform staffing reconciliation in Smart Square.
  • Complete and submit supply requisitions, accept and stock deliveries, and place orders for durable medical equipment.
  • Participate in unit performance improvement initiatives and support professional nursing practice.
  • Transport unit supplies, patient care supplies, medications, and equipment as assigned.
  • Use effective written and oral communication skills with patients, staff, physicians, family, and visitors.
  • Use safety communication techniques and place physician and ancillary consults.
  • Maintain computer and other related IT equipment and report malfunctions.
  • Act as a liaison between patients and diagnostic areas, communicating anticipated times for tests/procedures.
  • Maintain and act as a unit expert regarding patient care documentation tools, especially during downtime.
  • Facilitate data recovery during downtime.
  • Communicate patient care concerns/problems/emergencies to the RN.
  • Use positive and respectful communication with all members of the healthcare team, patients, and families.
  • Provide a safe environment for unit operations, including consistent hand hygiene and appropriate PPE/Infection control policies.
  • Keep patient rooms and unit areas clean and free of clutter.
  • Reinforce the importance of universal precautions with patients and their families.
  • Operate Xenex machines after patient discharge and perform environment of care rounds.
  • Comply with all Wellstar Health System policies, standards of work, and code of conduct.
