About The Position

The Admissions Supervisor oversees staff responsible for the inpatient/outpatient admissions process, including intake, financial arrangements, verification of benefits, and ensuring compliance. This role also serves as the initial point of contact for potential clients and referring parties of the facility, provides excellent customer service to both clients and referring parties, enters all information into databases, and works closely with staff and leadership across facilities and departments to ensure that the referral has the most potential for success.

Requirements

  • Must Possess High School diploma or GED equivalent.
  • Familiar with HIPAA/client confidentiality and personal rights.
  • Possess CPR/First Aid certification.
  • Current TB test and health screen.
  • One year’s experience working with adults with alcohol and substance abuse patients.
  • Prior experience working in admissions, preferably in the field of chemical dependency and/or behavioral health.
  • Knowledge of industry standards.
  • Basic knowledge of PC software programs, particularly Microsoft Word and Excel is preferred.
  • Written and oral communication skills; must be able to concentrate on work amid distractions such as noise, conversations, and foot traffic.
  • Must maintain self-control in volatile or hostile situations such as when verbally or physically confronted in an aggressive manner.
  • Must possess a reading and writing level that provides for clear expression and/or understanding of assignments related to job description.
  • Ability to represent the program well in interactions both inside and outside the facility.
  • Valid Driver’s License.

Nice To Haves

  • Associate degree or bachelor’s degree from an accredited university in related field.
  • Experience in social work, counseling, psychology, or related field is preferred.

Responsibilities

  • Supervise staff responsible for inpatient/outpatient admissions and support staff by providing feedback for training and development.
  • Use quality control systems to ensure department standards and expectations are being met.
  • Collaborate with other department leaders to troubleshoot and accommodate unique referral needs or requests from referral sources.
  • Track referrals daily and provide weekly and monthly updates to the department director.
  • Engage with referring parties in a professional and collaborative manner to understand referring parties’ needs, being aware that many referring parties call to transfer clients to other programs or seek additional help for clients in need of multiple services.
  • Establish and maintain trusting and professional relationships with referring parties.
  • Enter client data into facility client databases; maintain accurate databases of patients as they are admitted, discharged, transferred, or moved to other levels of care.
  • Be fully aware of all facility programs, their eligibility requirements, competencies, and strengths.
  • Conduct wellness checks for clients at 30/60/90-day anniversaries of completion.
  • Accurately process patient payments and notify the billing office of payments to ensure proper account credit.
  • Assist manager with staff schedule to ensure adequate coverage.
  • Performs other duties and tasks as required.
