About The Position

This position will support Office of Undergraduate Admissions recruitment strategies through coordinating the daily Campus Visit Program and supporting students and parents through the admissions process, via phone, e-mail, and in-person. This position will serve as the primary contact for prospective students and guests for the daily visit experience, managing visit communications, maintaining web and portal content, and ensuring a high-quality, seamless campus visit experience. In collaboration with the Associate Director of Admissions for Visits and Events, this position directs the planning, coordination, and execution of the Daily Campus Visit Program, including oversight of visit logistics, communications, campus tour operations, presentation content, and the continuous review and enhancement of the campus tour route to showcase the University's academic excellence, student life, new developments, and campus community. This position will also recruit, train, and supervise Student Campus Visit Guides, a group of 50 current students, while collaborating with campus partners and the Communications and Marketing team to support an effective and engaging visitor experience. The position will also assist in the development and planning of on-campus large scale recruiting events such as Accolade, Cardinal Preview Day, and Say Yes to the Ville, as well as coordinate additional visit programs including Legacy Day, Admitted Student Fridays, and Orientation and Transfer Campus Tours. Additionally, this position will support general recruitment efforts, including serving in the Counselor on Call rotation, assisting prospective students and families, contributing to enrollment management initiatives, and supporting scholarship review processes. The position requires strong interpersonal, presentation, customer service, and event planning skills, as well as the ability to effectively engage with and supervise student staff. The position will utilize Slate and other customer relationship management (CRM) systems to manage visit communications and support the prospective student experience. This position will also require occasional evening and weekend availability to support campus visits, recruitment events, and other Admissions programs.

Requirements

Bachelor's degree in a related field and two (2) years of relevant experience or an equivalent combination of education and experience.

Responsibilities

Direct planning and coordination of daily Campus Visit Program designed for prospective students.
Oversee Daily Campus Visit Program web content, ensuring accuracy, timely updates, and alignment with daily visit availability.
Manage all Daily Campus Visit Program event communications in Slate (pre & post event) and ensure communication is up to date in the visit portal in the event of a change to the visit (i.e. inclement weather, emergency closures, etc.).
Serve as primary contact for prospective students and guests for the Daily Campus Visit Program via phone, email, Slate text, or walk-in inquiries.
Develop, review, and maintain campus visit presentation materials – including presentation slideshow and script to ensure consistency and quality of messaging.
Communicate all updates made to campus visit presentation with Admissions staff
Develop, review, and maintain the campus tour route to ensure it reflects current campus facilities, highlights new developments, and showcases the University's most engaging academic, student life, and community spaces.
Collaborate with various campus partners including University Parking, Housing, and Student Activities Center to ensure a smooth campus visit experience for all guests.
Work closely with the Communications and Marketing team to design and implement an intentional, effective communication plan to support visitor experience. Also works with Associate Director to set clear objectives for event marketing & promotion.
Monitor campus weather conditions, safety concerns, and emergency communications while developing and implementing response plans to ensure a safe and positive experience for campus visitors, tour guides, and event guests during daily operations and special events.
Recruit, select, and supervise all Student Campus Visit Guides.
Train, develop, and support Student Campus Visit Guides by planning and executing training sessions, monthly meetings, and pre-event briefings.
Serve as point-of-contact for Student Campus Visit Guides regarding daily operations, visit execution, and large-scale recruitment events.
Foster and support a welcoming, growth & development focused environment for all student staff including leadership roles/opportunities, etc.
Develop, update, and maintain the campus tour script for all Student Campus Visit Guides.
Serve in a rotation for Counselor on Call, providing support for walk-in visitors, phone inquiries, and email correspondence that require additional assistance beyond front desk support, as well as delivering daily campus visit presentations to prospective students and their guests.
Execute scheduling of Counselor on Call/Campus Visit Program monthly rotation between the Visits & Events and Outreach & Scholarship teams.
Assist and support all enrollment management and new student program recruitment efforts.
Assist in the development and planning of on campus large-scale recruitment events such as Accolade, Cardinal Preview Day, and Say Yes to the Ville.
Plan & execute additional events including Legacy Day, Admitted Student Fridays, Orientation Campus Tours, Transfer Campus Tours.
Assist Department Coordinator IV with more complex and/or high-profile group visits.
Assist the Associate Director in compiling monthly visit report for the Executive Director and Vice President of Enrollment Management.
Serve as reviewer for scholarship programs.
Attend professional organizations and meetings to enhance job performance and make recommendations for program updates through professional development.
