About The Position

The Admissions Coordinator manages the patient intake process through facilitation of a smooth transition to Blythedale Children’s Hospital. This role is the first point of contact for our patients and their families. The Admission Coordinator is responsible for collection of accurate demographic, eligibility and insurance information. This role obtains prior authorizations for admissions, complete documentation and coordinate with various departments. Providing exceptional customer service is critical. In a pediatric rehab setting, this position requires a high level of empathy and attention to detail to ensure children receive timely therapeutic interventions. The Admissions Coordinator reports to the Assistant Director of Patient Access.

Requirements

  • 2+ years of experience in healthcare registration, medical billing or high-volume customer service role.
  • Proficiency with EMR (e.g. Meditech, Phreesia), Microsoft Office Suite (Outlook, Teams, Excel, Powerpoint, OneNote, Word), Adobe Acrobat, knowledge of medical terminology and ICD-10/CPT coding basics.
  • Excellent verbal and written communication skills with the ability to remain calm and professional in a fast-paced clinical setting.
  • Fluency in English required.
  • High School Diploma from an accredited institution in the U.S. or equivalent required.

Nice To Haves

  • Experience in a pediatric or rehabilitation environment a plus.
  • Bilingual in Spanish a plus.
  • Associates degree in a healthcare major preferred.

Responsibilities

  • Facilitate the full registration process for inpatient.
  • Greet family upon arrival for inpatient and LTC admissions.
  • Review consent forms and admission packet with parent or guardian, obtain necessary signatures and copies relevant documentation.
  • Collect and verify legal guardian information and emergency contacts.
  • Attend Admissions Group meetings or assign designee.
  • Utilize electronic verification tools to confirm active coverage.
  • Identify and document primary, secondary and tertiary payers, ensuring compliance with coordination of benefits (COB) rules.
  • Contact insurance companies at time of referral to verify policy benefits, Medicaid eligibility, and obtains necessary authorizations for care when needed.
  • Document information in Meditech.
  • Update Meditech with continued stay authorizations as they are received.
  • Inform families of their financial responsibilities, including co-pays, deductibles, and co-insurance.
  • Provide information regarding financial assistance programs if needed.
  • Work closely with the Business Office to ensure an error and denial free billing process.
  • Maintain 100% accuracy in the Electronic Medical Record (EMR) system to prevent billing errors and claim denials.
  • Ensure all HIPPAA mandated privacy notices and consents are signed and scanned.
  • Enter demographic pre-registration information at time of referral to ensure accurate referral list.
  • Open insurance case when requested by insurance company.
  • Act as a liaison between families and clinical staff to manage arrival flows.
  • Provide wayfinding assistance and information regarding hospital amenities to support a family-centered care environment.
  • Inform insurance companies when child is emergently transferred with subsequent discharges and reviews need for new authorization.
