About The Position

The University of Chicago Law School seeks an Admissions Coordinator. The position reports to the Director of Admissions and provides administrative support to the Law School’s admissions processes. The Admissions Coordinator collaborates with other student services managers and administrators to ensure efficiency, accuracy, and timely performance of admissions operations, facilitate and resolve student and office problems independently, develop and implement procedures and policies for new student initiatives, and improve efficiency and results within existing programs. The Admissions Coordinator must develop and maintain an understanding of the Law School and its culture in order to positively represent the University and the Law School to all constituencies, including prospective students, applicants, current students, and other internal and external partners.

Requirements

  • Minimum requirements include a college or university degree in related field.
  • Minimum requirements include knowledge and skills developed through < 2 years of work experience in a related job discipline.
  • Proficiency with Microsoft Office Suite.
  • Experience with web content management systems.
  • Aptitude for learning and becoming an expert user of software programs and databases, including the Admissions database and the appointment management database.
  • Exceptional interpersonal, verbal and written communication skills.
  • Strong initiative and resourcefulness in problem-solving and commitment to providing a high level of service with a positive attitude.
  • Ability to effectively communicate with faculty, graduate students, various administrative offices at all levels in the University, and external constituents.
  • Demonstrated flexibility and ability to multi-task while maintaining a calm and courteous demeanor.
  • Strong organizational skills, high attention to detail, and ability to follow directions, meet deadlines, and maintain confidentiality.
  • Ability to work independently and as part of a team.
  • Knowledge of the University of Chicago’s policies and procedures.

  • Professional work experience in higher education strongly preferred.
  • Previous experience in student services strongly preferred.

Responsibilities

  • Provides in-person and virtual front-line, accurate prospective student information and assistance for admissions and graduate programs.
  • Manages the Admissions inbox and answers calls for the Admissions Office.
  • Uploads data into, sends emails from, and pulls reports in Admissions database system to support recruiting efforts and application process.
  • Processes JD, Transfer, and MLS online applications and supports application processes.
  • Provides administrative and event support to the Doctoroff Program and Rubenstein Program.
  • Prepares materials for and helps execute applicant and student programs and visits, and processes student reimbursements.
  • Coordinates logistics for major student functions, including admitted students events and graduate student orientation.
  • Identifies and negotiates contracts with vendors, ensures high quality service standards are met, and processes vendor payments.
  • Assists with tracking and processing team expenses.
  • Assists with onboarding tasks for incoming students.
  • Maintains and updates the Admissions web and electronic content.
  • Conducts special projects such as surveys, accreditation visits, the creation and management of specialized student activities or programs, and data collection initiatives.
  • Occasionally represents the Law School Admissions team at on- and off-campus recruiting events.
  • Uses general understanding and experience to administer the delivery of services to program participants and/or beneficiaries.
  • Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Performs other related work as needed.
