About The Position

This role is responsible for managing the admissions process for clients, coordinating with managed care organizations, and ensuring smooth transitions for youth and their families into the PRTF program. The Admissions Coordinator plays a key part in maintaining high occupancy rates, improving profitability, and reducing placement risks. This position requires strong organizational skills, excellent communication, empathy, and a commitment to protecting confidential information.

  • Able to function effectively as a team member of the Home’s admissions staff with a focus on supporting parents, guardians and children through the admissions process; maintaining complete and accurate admissions files, participating in pre-authorization interviews with third-party payors.

Responsibilities

  • Review and make decisions regarding client packets concerning authorization and the treatment process.
  • Initiate and coordinate with managed care organizations.
  • Coordinate and participate in staffing cases and review with managed care agencies for ongoing authorizations.
  • Input admission data into Extended Reach to support smooth admissions.
  • Electronically scan, file, and progress note issues of concern including all case files to Extended Reach.
  • Meet weekly with the assigned PRTF’s Clinical Leadership and with staff and personnel concerning referrals, placements, resources, and other issues of concern.
  • Lead bi-monthly intake meetings with the PRTF’s Administrator, clinical staff, and medical personnel to expedite the process.
  • As cases require, organize and participate in pre-placement interviews with youth.
  • Help families and stakeholders negotiate the admissions process, moving them through approval and authorization for the PRTF program to the actual placement.
  • Develop and maintain healthy relationships with healthcare provider organizations.
  • Provide alternative placement resources to those who are ineligible for PRTF services.
  • Help to improve profitability by examining quarterly admissions trends for the assigned PRTF and offering suggestions for improvement.
  • Review quarterly Quality Assurance data with the Admissions Director to help meet performance goals.
  • Maintain Admissions Budget Projections by working to obtain/retain full capacity.
  • Reduce placement risks by identifying, organizing, and structuring “at-risk clients” to be admitted into the facility (notifying the nursing department and clinicians involved).
  • Schedule admission day phone calls with placement guardians.
  • Communicate clearly with stakeholders about our organization and its services.
  • Maintain the highest occupancy for the assigned PRTF.
  • Participate in Admissions and Leadership Support Team agency meetings.
  • Help define a strategic marketing plan with Utilization Review teams around the state (referring hospitals).
  • Maintain high standards of personal and professional conduct in all relationships with family members, referral sources, payers, and agency staff.
