About The Position

Hope House Treatment Centers is seeking an Admissions Coordinator to help welcome patients to our community and ensure that their intake goes as smoothly as possible. The Admissions Coordinator is responsible for answering incoming calls, directing calls to appropriate staff, and coordinating the admissions of new patients to the inpatient program including collecting demographic information, verification and communication of insurance coverage, scheduling admission, and reviewing and signing consents for treatment via electronic medical record system. This position works closely with local referral sources such as Mobile Crisis Teams, hospitals, health departments and other medical professionals.

Requirements

  • Demonstrates understanding of the HIPAA Privacy Rule and Sharing Information
  • Demonstrates understanding of medical benefits including deductibles, copays, co-insurance and out of pocket maximums.
  • Strong organizational skills.

  • Strong verbal and written communication skills.
  • High school diploma or equivalent
  • 1+ year of experience in medical administration
  • 1+ year of experience in verification of medical benefits

  • Familiarity with Credible (electronic medical record system)

Responsibilities

  • Completes all admission screenings using electronic medical records in Credible. Ensures accurate data is entered upon patient admission, as well as changes throughout treatment. (i.e. appropriate mailing addresses for billing purposes, phone numbers etc.)
  • Employee works cooperatively with other community resources and referral sources to coordinate services to clients.
  • Maintains accurate and updated bed availability at all times.
  • Verifies patients have active and eligible insurance prior to/during treatment through EVS, Incedo, and Private Insurance Company’s websites or via provider benefits representatives. Confirms primary insurance is accurate.
  • Schedules patients according to criteria set forth by the inpatient program and bed availability.
  • Maintains all active and inactive patient records and places in “dead file” status as appropriate. (i.e. cleaning up the wait-list, pending, discharged, active, inactive, on-hold, scheduled, duplicate records etc.)
  • Completes admission paperwork and consent with new patients within 24 hours of admission. This includes accurate description of each consent.
  • Logs in on a daily, or as acquired basis, all admission fees, credit card receipts, and insurance checks legibly in the financial log.
  • Re-directs faxed hospital records to medical staff for approval or denial (or referral) for potential client admission in question. Contacts patients with urgency with results of medical staff’s discretion/disposition.
  • Maintains the postage machine and adds postage as needed.
  • Answers incoming phone calls with professionalism and respect; routes calls as appropriate, takes information for telephone screening forms as appropriate.
  • Maintains HIPAA Compliance to ensure confidentiality of patients participating in treatment. Reviews all consent forms before disclosing any personal health information in order to comply with a patient’s privacy and rights. Ensures all consents are signed by patient for treatment at admission and during treatment.
