About The Position

The Admissions Coordinator is responsible for communicating Riverside Recovery’s program information regarding admissions. Manage admissions with a primary focus on increasing admissions thorough continuously improving customer service, faster call response time, improved efficiencies and ongoing improvement through training.

Requirements

  • Working knowledge of what is offered in each Level of Care offered at Riverside Recovery and all amenities available to clients
  • Acute attention to detail
  • Ability to multi-task, work independently with minimal supervision, and problem solve through a variety of scenarios
  • High school diploma or GED, or Associates degree or higher in Accounting, Psychology, Social Work, Health Care Administration or Business Administration preferred
  • 2-4 years' experience in a medical or healthcare or sales setting - required
  • Must have analytical skills
  • Must have knowledge of insurance providers and services covered
  • Strong customer service experience working in a professional office setting required

Nice To Haves

  • 5 years preferred experience in a medical or healthcare or sales setting

Responsibilities

  • Completing Pre-Assessments and obtaining Medical/Clinical approval for all incoming clients
  • Answering all inbound departmental phone calls via CTM
  • Greeting all new admissions promptly and completing intake process/paperwork for clients
  • Identifying, building, and maintaining relationships with key referral partners
  • Managing all client related communication and CRM documentation in house and, if requested, remotely, via Riverside provided cell phone and laptop.
  • Assessing client for any potential harmful tendencies requiring immediate action
  • Providing referrals for all clients not appropriate for the facility
  • Converting a general inquiry to an admission by managing the process from first call to intake
  • Making quick, important, and educated decisions on admits that affect other departments and the flow of the company
  • Helping drive growth with regard to census/revenue. Under the direction of the Director of Admissions, works to meet census objectives.
  • Building and maintaining productive interdepartmental relationships
  • Communicating with people at all levels of the organization, including executive management, middle management, patients, and those affiliated with external agencies
  • Documenting each call/referral and all conversations in Salesforce
  • Conducting tours with potential clients and families
  • Coordinating transportation when applicable
  • Conducting daily follow-up calls as appropriate
  • Logging all pertinent shift activity in shift report
  • Updating and maintaining all Admissions related Microsoft Office docs
  • Participating in ongoing training as appropriate
  • Participating in all mandatory departmental meetings
  • Obtaining/completing insurance verification for all incoming clients and possessing ability to review benefits with potential clients and families
  • Maintaining list of all available referral resources
  • Being on call during scheduled times
  • Assisting in training to new department employees (if requested by Director of Marketing & Admissions)
