About The Position

Saint Mary’s provides its student body of about 500 young men and women a rigorous Catholic liberal arts and sciences curriculum, a developed fine arts program, a diversity of extracurricular activities, regular access to the sacraments, and a strong retreat program. The Admissions Coordinator oversees all aspects of admissions and recruitment and will direct the admissions process from inquiry through enrollment. The coordinator will lead a collaborative effort to develop and implement both short-term and long-term recruitment strategies to ensure Saint Mary’s meets enrollment objectives. The ideal candidate will be a data driven decision maker, an experienced admission professional, and a creative leader in admission, recruitment, and retention. The candidate will be enthusiastic, accessible, and approachable. The coordinator will develop and lead outreach efforts to draw families to the school. The coordinator should be a team player who has a warm collaborative nature, positive energy, sense of humor, possess superior organization and prioritization skills and is self-motivated in the completion of his/her work. She/he will have exceptional communication and interpersonal skills including outstanding writing and public speaking skills and the ability to interact comfortably with a variety of people. This person will have genuine empathy for prospective families and an awareness of the needs and sensitivities of parents, students, faculty, staff and administrators and ultimately be able to manage expectations and deliver admissions decisions in a manner that is honest, caring, and diplomatic.

Requirements

  • Excellent communication skills, including ability to write and speak in a positive, consistent, and pleasant way in both English and Spanish
  • High level of organization and interpersonal skills
  • Ability to collaborate effectively with administration, staff, teachers, parents and volunteers
  • Excellent interpersonal skills in both English and Spanish
  • Ability to work independently, set schedules, prioritize tasks, supervise others and work in a team setting

  • Ability to stand and sit for extended periods of time
  • Practicing Roman Catholic in good standing with the Church
  • Bachelor's degree preferred plus work experience, 3-5 years
  • Bilingual English and Spanish strongly preferred
  • Received Safe Environment Training and signed the Code of Conduct
  • FBI Fingerprint clearance completed
  • Full-time; 12 months; occasional work on weekends and evenings depending upon admissions season

Responsibilities

  • Represent Saint Mary’s and serve as the face of the school to the school and broader community and with prospective families while communicating the mission
  • Lead and develop a communications plan with prospective families to move them from inquiry to enrollment
  • Coordinate systematic and efficient handling of applications and communications with parents of student applicants so that the process supports and honors the student and their family
  • Coordinates entrance testing for in-coming student applicants
  • Interviews potential students and parents (in English and Spanish)
  • Coordinates the Admissions Committee to review applications and notify applicants of the decisions of the Committee in accord with the timeline for admissions notification
  • Leads the student and parent ambassadors; trains students to serve as tour guides and ambassadors for the school
  • Plans, schedules, and coordinates activities to engage grades school students in the school community, such as Shadow days, Open House, 8th grade events, Back-to-School Parent Night, individual and group tours, curricular information sessions, student observations/testing/interviews, parent to parent connections, and individual family conversations
  • Establishes communication between Saint Mary’s and local Catholic elementary schools and parishes
  • Communicates with the school community and parents of incoming students
  • Finds ways to contribute to the building of the culture and community at Saint Mary’s, engages immediate and extended families
  • Communicates and maintains institutional identity within the school faculty and staff through professional development
  • Works with international students on their international visa requirements and outside agencies that support student scholars.
  • Oversee and participate in the development of admissions materials, events and marketing practices, including press releases, photographs, and promotional information that will spread positive messages of the school, its students, programs, and community activities
