About The Position

The Admissions Coordinator is a key member of the admissions and business development team at an inpatient rehabilitation hospital. This role is one of the first points of contact for patients entering the facility and is responsible for ensuring the smooth operation of the admissions department. The hospital provides care for individuals with brain injuries, spinal cord injuries, neurological disorders, orthopedic issues, amputation, and multiple traumas. The Admissions Coordinator champions 'The Select Medical Way,' focusing on patient-first care, community well-being, innovation, and ethical practices.

Requirements

  • High School Graduate or equivalent required.
  • A minimum of two years' experience performing a broad range of duties with an Admissions or Pre-Admissions Department required.

Nice To Haves

  • Knowledge of Medical terminology preferred.
  • Knowledge of insurance verification preferred.
  • Experience working with Excel and databases.
  • Previous experience within a physical rehabilitation setting preferred.

Responsibilities

  • Manages the referral intake and admission of all patients.
  • Stays in close communication with all departments to prepare for patient admissions.
  • Oversees the pull-through process for the hospital under the direction of the Director of Business Development, providing support, customer service, and timely resolution of all admission aspects.
  • Ensures all deficiencies remain at 0% to eliminate holds, working with CBO and HIM to resolve errors.
  • Ensures every referral is timely and accurately entered in Transitions of Care.
  • Processes timely insurance verifications.
  • Assists in the pre-certification/authorization process, tracking for follow-up and timely processing.
  • Works with DBD, CEO, and other leaders to ensure timely admissions from the time of referral.
  • Works with the team to resolve occasional challenges and overcome obstacles.
  • Provides appropriate documents to the Case Management team timely.
  • Enters patient data in HMS/MedHost when pre-admitting, and enters details of patient’s benefits and billing instructions.
  • Completes admissions paperwork and reviews all patient forms/demographics with the patient/responsible party, securing signatures on all necessary documents.
  • Scans completed documents, including insurance cards and photo ID.
  • Leads the morning meeting with census, budgeted numbers, etc.
  • Communicates admissions time, bed number, physician, etc., to the hospital when there is a confirmed admission.
  • Provides tours of the hospital.
  • Provides customer service by accurately answering questions for internal and external customers.
  • Manages LOA's in HMS/MedHost, ensuring accurate entries for all LOA patients and completing forms as necessary for corrections.
  • Reviews and enters daily census via Select Portal by 11 am EST, ensuring accuracy and initiating any necessary changes/updates.
  • Performs other duties as assigned.
