About The Position

Harlem Children’s Zone (HCZ) Promise Academy, a top-performing K-12 charter school within HCZ’s cradle-to-career pathway, is seeking an Admissions Coordinator for the upcoming school year. This role is crucial in supporting the goal of HCZ Promise Academy to ensure all scholars achieve college readiness. The ideal candidate will possess a deep care for children, respect for the Harlem community, and a strong desire to make a significant impact. The Admissions Coordinator will manage the enrollment process, ensuring a positive experience for prospective scholars and their families, while collaborating with the Director of Operations to maintain accurate records and provide support throughout the enrollment journey. While assigned to specific schools, this role is an integral part of the Central Office team, contributing to school enrollment through data-driven strategies, targeted marketing, and effective enrollment practices. The coordinators will work collaboratively to enhance existing systems, research best practices, implement improvements, and streamline the enrollment process for increased efficiency and better outcomes.

Nice To Haves

  • Experience with Student Information Systems (SIS) platforms like Powerschool, School Mint, Jupiter, etc.

Responsibilities

  • Oversee the entire enrollment process from initial inquiry to final registration, ensuring a seamless experience.
  • Guide families through the enrollment steps, answer questions, and address concerns.
  • Provide hands-on support to families in completing necessary enrollment forms and documentation.
  • Review and process enrollment paperwork promptly to ensure accurate and up-to-date records.
  • Coordinate registration processes, including Brigance testing, Home Language Surveys, and technology support for online registration.
  • Act as the primary point of contact for prospective families, responding to inquiries via phone, email, and in-person meetings.
  • Provide consistent follow-up to ensure families feel supported throughout the process.
  • Offer detailed information about the school’s academic programs, curriculum, extracurricular activities, and community services.
  • Assist in transitioning scholars who have been discharged from the program into appropriate zone programming.
  • Manage communication and engagement with prospective scholars from the lottery through the enrollment process, ensuring they remain engaged.
  • Connect families with available HCZ services and resources to maintain interest.
  • Collaborate with the marketing team to develop and implement outreach strategies, including digital marketing, community outreach, and advertising campaigns.
  • Organize and participate in school tours, open houses, and other community events.
  • Coordinate recruitment efforts with Early Childhood and Elementary school teams, as well as HCZ community programs.
  • Participate in tabling events, flyering, and other grassroots marketing activities.
  • Perform other duties as assigned.
