About The Position

The Admissions Associate supports the college’s enrollment goals by assisting with the intake and processing of applications and supporting documentation, such as transcripts, test scores and residency documentation. This role is primarily responsible for ensuring the accurate and timely handling and entry of applicant materials, as well providing general administrative support for the Admissions team.

Requirements

  • High School Diploma or High School Equivalency Diploma.
  • Minimum of one (1) year of experience in any combination of: Data entry (e.g., input/update, tracking, auditing, reporting, extracting reports, etc.).
  • Minimum of one (1) year of experience in any combination of: Customer service (e.g., assist, support, troubleshoot, follow-up, outreach, referrals, etc.).
  • Valid driver’s license.

  • Knowledge of Banner and/or Slate CRM software

Responsibilities

  • Enter, update, and maintain applicant and prospective student records in the Customer Relationship Management (CRM) and Student Information System (SIS), ensuring accuracy and completeness.
  • Verify, scan, upload, index, and maintain application materials, including transcripts, test scores, and other supporting documents, while managing the shared Admissions email account.
  • Ensure timely processing of admissions data and documents to meet departmental deadlines and maintain accurate applicant and prospect records.
  • Maintain the confidentiality and security of applicant information and ensure compliance with institutional policies and applicable regulations, including the Family Educational Rights and Privacy Act (FERPA).
  • Process admissions applications from receipt through completion, including application coding in accordance with Tennessee Board of Regents (TBR) and Cleveland State policies and procedures.
  • Track application status, communicate with applicants regarding missing or incomplete documentation, and maintain complete applicant files.
  • Evaluate initial residency status, process residency reclassification requests, and update student records, including term changes and application withdrawals.
  • Provide customer service to prospective students, applicants, faculty, and staff by phone, email, and in person regarding admissions and enrollment processes.
  • Collaborate with Financial Aid, Academic Affairs, and other campus departments to support accurate information sharing, reporting, and student services.
  • Participate in training, team meetings, and process improvement initiatives while maintaining proficiency in college systems and office procedures.
  • Coordinate with Admissions staff to ensure office coverage, support recruitment activities, and assist with campus events as needed.
  • Attend all college functions as required.
  • Serve on various college committees as directed by your supervisor.
  • Perform other duties as assigned by supervisor.
