About The Position

The Pines at Placerville Healthcare Center is seeking a motivated, organized, and driven Admissions Assistant to support our Admissions Director and help ensure a smooth, welcoming, and efficient admission experience for our residents and their families. This is an important role for someone who takes initiative, stays organized, follows through, and is comfortable working independently while being part of a collaborative team. The ideal candidate is a self-starter who doesn't wait to be told what needs to be done, communicates effectively, and takes pride in getting the details right. Requirements

  • High school diploma or GED required.
  • Ability to read, analyze, and interpret business documents, professional publications, technical procedures, and governmental regulations.
  • Ability to write reports, correspondence, and other business documentation.
  • Ability to communicate effectively and respond professionally to questions from managers, employees, residents, and families.
  • Ability to apply basic mathematical concepts, including percentages, ratios, and proportions.
  • Strong problem-solving and organizational skills.
  • Ability to interpret written, verbal, diagrammed, or scheduled instructions.
  • Minimum typing speed of 35 words per minute.
  • Ability to use a 10-key calculator and standard office equipment.
  • Self-starter who takes initiative and can keep moving without constant direction.
  • Driven and motivated to accomplish goals and follow through on responsibilities.
  • Highly organized and detail-oriented, with the ability to manage multiple priorities.
  • Dependable, professional, and accountable.

Nice To Haves

  • Previous healthcare, skilled nursing, admissions, medical office, or administrative experience is preferred.

Responsibilities

  • Coordinate and support the admission process.
  • Assist with interviewing residents, guardians, and sponsors and obtaining required admission information, signatures, permits, releases, and authorizations.
  • Assist with resident admission orientation and provide required admission information packets, including resident rights, privacy practices, admissions contracts, and related materials.
  • Prepare identification records and complete admission documentation accurately and efficiently.
  • Process resident admissions, transfers, and discharges in accordance with facility policies and procedures.
  • Maintain an accurate record of available beds and current resident room assignments.
  • Communicate new admissions promptly to the nursing department and coordinate with appropriate staff to ensure a smooth arrival.
  • Maintain accurate resident listings and distribute information appropriately while protecting resident privacy and confidentiality.
  • Assist with inventorying resident valuables and obtaining appropriate documentation.
  • Develop and maintain positive working relationships with nursing, management, and all other facility departments.
  • Follow established policies, procedures, schedules, and direction from the Admissions Director and other supervisors.
  • Take ownership of assigned responsibilities and proactively identify tasks that need attention.
  • Support the Admissions Director with day-to-day administrative and admissions-related responsibilities as needed.
  • Maintain strict confidentiality of resident information and protected health information (PHI), and report known or suspected unauthorized disclosures.
  • Perform other duties as assigned.
