About The Position

Berkeley Lab’s Joint Genome Institute (JGI) has an opening for an Administrator to join their Administrative Services Team. In this role, you will provide administrative and operational support to JGI leadership, including the Deputy for Science Programs and Chief Informatics Officer. This position supports major scientific initiatives such as the National Microbiome Data Collaborative (NMDC) and DOE funded projects including BRIDGE and FORGE. You will be responsible for coordinating projects and events, managing calendars and travel, supporting scientific seminars, facilitating communications, and helping implement operational and technical solutions. This role works closely with senior leaders and collaborates with partners across national laboratories, universities, and external organizations. The JGI is a global leader in genome science, helping shape the future of biological discovery through advanced genomic capabilities, expert support, and large-scale, AI-ready data resources. As a Department of Energy (DOE) Office of Science user facility supported by the Biological and Environmental Research (BER) program, JGI advances BER’s mission to achieve a predictive understanding of complex biological, Earth, and environmental systems in support of the nation’s energy and infrastructure security. Through world-class capabilities in genome sequencing, synthesis, transcriptomics, metabolomics, natural products, and data science, JGI supports cutting-edge research on plants, fungi, algae, microorganisms, and microbiomes. Requirements

  • A minimum of 5 years of relevant experience providing administrative and operational support to senior-level management in a professional, academic, or research environment.
  • Demonstrated experience delivering high-level administrative support, encompassing email correspondence, calendar management, scheduling, travel coordination, expense reports, meeting planning, project coordination, data management, report generation, and navigating complex computerized systems.
  • Experience providing executive level and project management oriented support using prominent cloud-based software platforms and applications, including Google Applications Suite, MS Office Suite, Smartsheet, Jira, Adobe Acrobat, and Zoom video conferencing on Mac or PC platforms.
  • Experience with event planning, including the planning, coordination, and execution of high-level events, executive meetings, and organizational functions, ensuring seamless logistics, effective stakeholder engagement, and alignment with organizational goals for both in-person and virtual environments.
  • Demonstrated written communication skills, with a history of producing professional, error-free emails, documents, reports, and presentations.
  • Exceptional organizational skills, showcasing the ability to manage competing priorities, meet deadlines, take initiative, and adapt quickly to changing work priorities.
  • Demonstrated problem-solving skills, with the ability to assess a wide range of issues, develop creative solutions, and recommend alternative approaches.
  • Proven oral and interpersonal skills, including the ability to maintain professionalism, discretion, and confidentiality while interfacing with personnel at all organizational levels, internally and externally.
  • Demonstrated ability to interpret policies and procedures, develop recommendations, implement process improvements, and manage moderately complex to complex, sensitive, and time-critical assignments.
  • Outstanding customer-focused administrative support, characterized by diplomatic and professional interactions with both internal and external customers.

Nice To Haves

  • A Bachelor’s Degree (or equivalent knowledge/training) in Business Administration or a related field.
  • Experience with Berkeley Lab systems and tools (LETS, FMS, Trex, RezDesk, Cognos, etc.)
  • Knowledge of Berkeley Lab, the University of California (UC), the Department of Energy (DOE), and/or local, state, and federal policies, procedures, and regulations.
  • Experience supporting scientific, technical, or research programs.
  • A valid California Driver's License.
  • Ability to work evenings and/or weekends as needed.
  • Ability to transport goods and materials between multiple Lab sites as needed.

Responsibilities

  • Provide administrative support to the JGI Deputy for Science Programs and Chief Informatics Officer.
  • Serve as a primary contact for internal and external inquiries and communications.
  • Support operations for the NMDC, BRIDGE, and FORGE programs.
  • Coordinate complex travel arrangements and reimbursements for JGI Leadership.
  • Manage the weekly SciFo Seminar Series, including speaker coordination, logistics, recordings, and content distribution.
  • Plan and coordinate scientific events, workshops, reviews, retreats, and meetings across multiple institutions.
  • Support keynote and invited speakers for the Annual JGI User Meeting, including travel, presentations, and onsite event coordination.
  • Facilitate communication among JGI Leadership, partner laboratories, universities, and external organizations.
  • Draft and edit reports, presentations, correspondence, and other confidential materials.
  • Develop and implement operational and technical solutions, including surveys, website updates, databases, and virtual meeting support.
  • Partner with Area administrative staff on projects in support of the Biosciences Area overall.
  • Work collaboratively with other staff to design and create templates, forms, websites, and other forms of media for JGI Operations websites.
  • Collaborate with administrative leadership to continuously improve workflow and administrative management.
