Requirements

  • High school diploma or equivalent.
  • Two to three years of experience in an administrative support function.
  • Proficient in Microsoft Office products, including Excel, Outlook and Word, and proprietary software applications.
  • Familiarity with accounting software such as Ascend or PDI.
  • Communicate effectively verbally and in writing.
  • Establish and maintain effective working relationships.
  • Demonstrate effective customer service skills.
  • Prioritize, organize and perform multiple work assignments simultaneously while meeting assigned deadlines.
  • Perform accurately in a detail-oriented environment.
  • Gather, interpret, report and use data and other information concerning assigned activities.
  • Function effectively as an individual contributor or as part of a team.
  • Skill in preparing clear and concise documents, including but not limited to reports, procedures, correspondences and other written materials.
  • Knowledge of applicable computer applications and basic computer functions.

Responsibilities

  • Providing support to the Palmer Terminal, and occasionally some of our other terminals, by performing a wide range of administrative tasks.
  • Answer and direct phone calls to other office staff.
  • Invoice customers directly, over the phone and through email correspondence.
  • Assist with inventory and asset tracking software.
  • Process daily paperwork created from fuel deliveries and counter sales.
  • Cross train for relief dispatch duties, print tickets, and route fuel deliveries.
  • Receive and respond to routine correspondence following established procedures not requiring management review.
  • Exercise independent judgment and employ basic reasoning skills.
  • Collect, compile, and analyze moderately complex data and information for inclusion in reports or presentation materials.
  • Prepare charts, graphs, or tables as necessary.
  • Assist management with daily tasks such as typing correspondence, entering data into a computer, filing records and answering phones.
  • Perform other duties that may be needed under the direction of management.
