About The Position

The Integrity Project Administrator will be responsible for a variety of administrative tasks supporting the Integrity Project. This role involves data entry, tracking, reporting, and coordination to ensure the smooth execution of projects within the Pipeline Integrity department.

Requirements

  • High school degree or GED is required.
  • Minimum of 2 years’ experience in Project Management administrative support or equivalent is required.
  • Basic knowledge of Microsoft Word and Excel is required.

Nice To Haves

  • Associate’s degree or greater is preferred.
  • Basic knowledge of Microsoft Access is preferred.
  • Basic knowledge of Oracle is preferred.

Responsibilities

  • Inputs requests for AFE (Authorization For Expense) projects in Oracle.
  • Verifies all data fields are entered accurately for management approval.
  • Verifies company share, company number, and cost center for every project.
  • Monitors Oracle to ensure AFEs are approved within the required time period.
  • Runs reports for AFE end dates.
  • Updates project end dates in Oracle.
  • Updates the vendor list in Oracle.
  • Updates Pipeline Integrity estimates to reflect WBS structure.
  • Maintains consistent WBS tracking throughout project lifecycle – setup, tracking, and closeout.
  • Reviews AFE reports - monitoring project expenditures.
  • Issues reports and feedback to Project Managers.
  • Routinely submits and tracks project invoices.
  • Updates the AFE tracker with new AFEs, change orders, warning letters and scope changes.
  • Maintains and iterates on Microsoft Excel trackers, estimate sheets, and reports.
  • Assists in the annual budget process by locating missing data and verifying data provided by Project Managers, other departments, contractors, or accounting.
  • Tracks project updates from Project Managers and enters updates into a Microsoft Access database.
  • Requests maps and other documents from various departments for projects.
  • Proofreads project descriptions and makes spelling, grammar and sentence structure changes as required.
  • Responds to requests from accounting, internal audit, commercial, project controls, etc. and provides feedback to Pipeline Integrity management.
  • Schedules meetings, books meeting rooms, and manages schedules for the leadership team.
