About The Position

The Integrity Project Administrator will be responsible for managing and tracking various aspects of projects within the Integrity Project, ensuring accurate data entry, timely approvals, and consistent tracking throughout the project lifecycle. This role involves significant interaction with Oracle, Microsoft Excel, and Microsoft Access, as well as providing support to Project Managers and the leadership team.

Requirements

  • High school degree or GED is required.
  • Minimum of 2 years’ experience in Project Management administrative support or equivalent is required.
  • Basic knowledge of Microsoft Word and Excel is required.

Nice To Haves

  • Associate’s degree or greater is preferred.
  • Basic knowledge of Microsoft Access is preferred.
  • Basic knowledge of Oracle is preferred.

Responsibilities

  • Input requests for AFE (Authorization For Expense) projects in Oracle and verify all data fields are entered accurately for management approval.
  • Verify company share, company number, and cost center for every project.
  • Monitor Oracle to ensure AFEs are approved within the required time period.
  • Run reports for AFE end dates and update project end dates in Oracle.
  • Update the vendor list in Oracle.
  • Update Pipeline Integrity estimates to reflect WBS structure.
  • Maintain consistent WBS tracking throughout project lifecycle – setup, tracking, and closeout.
  • Review AFE reports, monitor project expenditures, and issue reports and feedback to Project Managers.
  • Routinely submit and track project invoices.
  • Update the AFE tracker with new AFEs, change orders, warning letters, and scope changes.
  • Maintain and iterate on Microsoft Excel trackers, estimate sheets, and reports.
  • Assist in the annual budget process by locating missing data and verifying data provided by Project Managers, other departments, contractors, or accounting.
  • Track project updates from Project Managers and enter updates into a Microsoft Access database.
  • Request maps and other documents from various departments for projects.
  • Proofread project descriptions and make spelling, grammar, and sentence structure changes as required.
  • Respond to requests from accounting, internal audit, commercial, project controls, etc., and provide feedback to Pipeline Integrity management.
  • Schedule meetings, book meeting rooms, and manage schedules for the leadership team.
