About The Position

This position provides administrative and service support to OMA Insurance and members. The OMA advocates for and supports doctors, seeking to strengthen their leadership role in caring for patients. Requirements

  • Community College Diploma in Business Administration, Office Administration, or an equivalent combination of education and experience
  • Two to three years of administrative and customer service experience, demonstrating proficiency in office administration practices, systems, and customer interactions
  • Knowledge and understanding of the insurance industry
  • Working knowledge of Salesforce CRM
  • Demonstrated ability to perform customer service and administrative duties within an insurance environment
  • Strong organization, communication, time management and interpersonal skills
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams)
  • Ability to work independently while also contributing effectively as part of a team
  • Ability to maintain confidentiality and handle sensitive customer information with discretion

Nice To Haves

  • Associate Customer Service (ACS) or Life Office Management Association (LOMA) designation is considered an asset

Responsibilities

  • Setting up member records and ensuring profiles are updated with accurate information by confirming change requests with members and business partners
  • Creating, updating, and assigning cases and leads to appropriate OMA Insurance teams for handling
  • Monitoring email inboxes and queues for inquiries, referrals, and sales or consultation requests from members and business partners, ensuring proper handling and distribution
  • Responding to member inquiries, requests and providing support as needed
  • Providing and following up with third-party insured members on notification reminders to assist in coverage retention
  • Informing the sales team of any third-party changes affecting in-force coverage
  • Checking and handling inbound and outbound mail, and triaging correspondence to applicable internal and external parties
  • Managing and distributing reports vendor commission statements to the applicable teams
  • Maintaining and tracking and ordering office supplies, along with providing any additional administrative support as needed
  • Adhering to agreed-upon OMA Service Level Agreements and ensuring information accuracy based on member service requests using proper activity settings
  • Presenting as a good brand ambassador of the OMA who displays professionalism, courteousness, patience, and understanding when dealing with our members
