About The Position

The Administrator, Hearings Director's Office works to provide administrative support to the Hearings Director’s office. The Administrator will be responsible for the administration of files and ensuring timelines and processes are managed appropriately.

Requirements

  • Certificate program, with preference for Legal Administration, Paralegal Studies, or Regulatory Compliance
  • 3 years of related experience in regulatory, legal, tribunal or quasi-judicial administrative environments
  • Proficiency with Microsoft Office or Microsoft Office 365 programs
  • Possess either Canadian Citizenship, permanent resident status, or a valid work permit.

Responsibilities

  • Provide administrative support to the Hearings Director, and Senior Manager, Hearings Director’s Office to support their responsibilities as required.
  • Under the direction of the Hearings Coordinator, support management of the administrative processes of Complaint Review Committee (CRC) submissions, including through file management, record keeping and communications.
  • Provide calendar management and support various administrative needs.
  • Monitor various inboxes to ensure information is received, actioned promptly, and escalate to the Hearings Coordinator and/or Hearings Director as appropriate.
  • Flag risks to legislative timelines related to the complaint review process.
  • Ensure timely, fair and consistent processes are applied while maintaining thorough documentation of decisions and outcomes.
  • Support the preparation of responses to the Alberta Ombudsman.
  • Provide coverage and support for other Hearings Director’s office activities such as disciplinary hearings, appeals and reviews.
  • Develop policies for the Hearings Director's office and, as required, provide support to the Deputy Registrar and Assistant Registrars in the development and preparation of regulatory policies.
  • Support establishment and maintenance of a database, including: Ombudsman Complaints as a source of organizational learning; External legal opinions obtained and tracking ongoing litigation against CPSA.
  • Assist the Hearings Director in the processes involved in managing abandoned medical records.
  • In support of continuous quality improvement, review and make recommendations to update processes or procedures within the Hearings Director’s office.
  • Other duties as required.
