About The Position

This is a temporary position with an expected duration from August 2026 to February 2026. The Administrator Assistant is responsible for performing administrative support and assistance duties for the Front Office. This includes meeting and greeting guests, answering phones, directing traffic, assisting with campus access and security monitoring, and ensuring accurate student attendance. Additionally, the Administrative Assistant will support the work of the Academic Administration.

Requirements

  • Ability to prioritize and perform multiple tasks in a calm, friendly, and organized manner.
  • Ability to successfully complete duties in an environment with constant interruptions and distractions.
  • Ability to operate a computer and enter data accurately.
  • Candidate should have intermediate to advanced Excel and Word skills and be a quick learner, able to learn new software/computer programs quickly.
  • Administrative assistant experience; or equivalent combination of education and experience

Nice To Haves

  • Associates degree in related field preferred
  • Experience in an independent school and/or not-for-profit environment preferred

Responsibilities

  • Answers and directs all incoming calls
  • Greet visitors and assist in keeping the campus secure by screening visitors to campus
  • Help visitors to sign in to campus through SchoolPass and use of visitor logs and badges
  • Assist students with periodic needs, for example, if they are leaving early, contacting their parents.
  • Follow all procedures to make sure parents sign their students out correctly through SchoolPass
  • Administrative tasks as assigned for the Middle School Director, Lower School Director, and the Whole Child Leadership Team (WCLT)
  • Stay up-to-date on-campus events and activities to better direct visitors and students
  • Compiles and maintains daily attendance records
  • Assist in transportation arrangements for field trips and overnight trips
  • Maintain Lounge supplies (order coffee, milk, etc.)
  • Maintain front office and mail room supplies and organization
  • All other duties as assigned
