About The Position

The administrative team lead provides service-oriented administrative leadership within the department, contributing to both college activities and broader institutional operations. This role provides leadership and supervisory support to a team of administrative professionals, promoting consistent service delivery, and a collaborative work environment. It involves coordinating and delivering a wide range of administrative services grounded in a strong understanding of institutional policies, systems, and processes. This position requires balancing multiple projects, overseeing evolving priorities, and supporting continuous planning efforts. This role also contributes to change management initiatives while aligning administrative practices with organizational goals.

Requirements

  • An office administration diploma
  • Minimum of four years of related experience, including leadership and team coordination or human resources experience
  • Experience supporting change management and organizational initiatives
  • Strong understanding of policies, procedures, systems, and administrative processes
  • Ability to maintain multiple projects and competing priorities
  • Effective interpersonal and communication abilities
  • Strong analytical skills, including the ability to interpret and apply data-driven insights
  • Ability to work effectively both independently and collaboratively in a team
  • Excellent organizational skills with high attention to detail
  • Proficient computer skills, including Microsoft Office applications

Responsibilities

  • Manages the full employee lifecycle of a team of direct reports, including hiring, professional development, mentoring, assigning workflow, and performance management
  • Supports the daily operations of the team through scheduling, workload planning, and functional leadership of administrative activities, guiding day-to-day workflow, work prioritization, and coordination of team deliverables to meet operational objectives
  • Consults with college leaders and campus partners to identify administrative needs and delivers tailored support solutions
  • Develops and implements administrative strategies, priorities, and operational plans to enhance administrative service delivery
  • Establishes service expectations and delivery models to promote consistency across administrative functions
  • Guides, mentors, and supports staff while promoting clarity in roles and standardized processes
  • Identifies performance trends and provides data-informed insights in collaboration with unit partners
  • Acts as a champion for administrative professionals by supporting the team through continuous change, while encouraging participation in professional development, peer learning, and strategic planning
  • Develops and maintains standard operating procedures to support knowledge sharing and consistency
  • Serves as a point of contact for resolving complex or escalated administrative issues
  • Shares leading practices and builds a community of practice in collaboration with institutional administrative leaders
  • Provides hands-on administrative support to units, when required, to maintain operational continuity and familiarity with team responsibilities
  • Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, contributes to a positive and productive work and learning environment, and models these behaviours across the institution
