About The Position

Advanced Technologies & Laboratories International, Inc. (ATL) is hiring an Administrative Support Specialist to provide support to WTCHP administrative processes to meet strategic priorities of excellent customer service to help achieve uniform and consistent operational procedures on the Administrative Services Team (AST). On July 1, 2011, Centers for Disease Control and Prevention (CDC), National Institute for Occupational Safety and Health (NIOSH), WTC Health Program was established as a federal health care program to provide medical monitoring and treatment for eligible members in accordance with the James Zadroga 9/11 Health and Compensation Act of 2010. On December 18, 2015, President Obama signed the James Zadroga 9/11 Health and Compensation Reauthorization Act which reauthorized the WTC Health Program for 75 years, ending in 2090. The contractor is to maintain a healthy organizational culture in providing consistent and professional communication and services to WTC Health Program clients including health care beneficiaries and health care providers, the contractor shall participate in the occasionally held lunch/learn and other training sessions regarding WTC Health Program organizational culture.

Requirements

  • Bachelors degree and minimum 2 years of experience in administrative support
  • Well versed in Microsoft Office- Excel and Sharepoint, especially
  • Strong organizational skills, professional communication, follow-up and coordination, team collaboration, detail-oriented, multi-tasker
  • Quick learner and adaptable/flexible
  • MS Office (Word, Excel, Powerpoint, Outlook)
  • Communication tools (Teams, SharePoint)

Nice To Haves

  • Government administrative experience is a plus
  • Familiarity with procurement request packages, SOWs, contract file maintenance, and invoice and deliverable tracking is a plus

Responsibilities

  • Acquire, organize, and maintain program information and materials to support the WTC Health Program’s mission, including coordination with other governmental agencies, contractors, and stakeholders.
  • Provide assistance with scheduling meetings, preparing agendas, and coordinating logistics, including travel arrangements and document preparation.
  • Ensure that meeting minutes are recorded, reviewed, distributed, and archived appropriately.
  • Assist in the coordination and support of in-person and virtual meetings, including scheduling, preparing presentation materials, reviewing transcripts, travel, and finalizing documentation for the public docket.
  • Maintain and safeguard sensitive and confidential information related to WTC Health Program health plan operations.
  • Prepare credit card purchase packages, processing training/conference, assist with contract action requests, support facility and product management
  • Organizing and maintaining contract documentation, tracking procurement actions, and organizing supporting documentation to ensure compliance with agency procedures and audit readiness
