About The Position

The Administrative Support employee provides administrative and clerical assistance to ensure the efficient operation of the community. This position supports management, staff, residents, families, and visitors by performing a variety of office, communication, and organizational tasks while maintaining professionalism and confidentiality.

Requirements

  • High school diploma or GED required; associate degree preferred.
  • One to three years of administrative or office experience preferred.
  • Experience in healthcare, assisted living, or senior care is preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Ability to learn facility software and electronic record systems.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional appearance and customer service skills.
  • Ability to maintain confidentiality and exercise discretion.

Responsibilities

  • Answer and direct incoming telephone calls in a courteous and professional manner.
  • Greet residents, family members, vendors, and visitors, providing excellent customer service.
  • Perform general clerical duties including filing, scanning, copying, faxing, and data entry.
  • Provide administrative and operational support to the Accounts Payable department and assist other departments as needed to ensure efficient day-to-day operations.
  • Assist with preparing reports, correspondence, spreadsheets, presentations, and other documents.
  • Manage incoming and outgoing mail and deliveries.
  • Schedule appointments, meetings, and conference rooms as needed.
  • Order and maintain office supplies and equipment.
  • Support department managers with scheduling, documentation, and special projects.
  • Maintain calendars and assist with event planning and coordination.
  • Ensure office areas remain organized, clean, and welcoming.
  • Perform additional duties as assigned by management.
