About The Position

The Center for Global Engagement at Florida Atlantic University is seeking an Administrative Support Specialist in Boca Raton, FL. This role provides essential administrative and operational support for international student admissions, enrollment, onboarding, and student services activities. The specialist will assist with student record management, documentation processing, immigration-related administrative functions, customer service, and communication with various stakeholders. The position is crucial for ensuring the efficient and compliant delivery of programs and services, contributing to the University's commitment to student success and global engagement.

Requirements

  • Bachelor's degree from an accredited institution in an appropriate area of specialization; or an Associate's degree from an accredited institution in an appropriate area of specialization and two years of related experience required.
  • Must meet federal eligibility requirements for Designated School Official (DSO) designation, including U.S. citizenship or lawful permanent resident status.
  • Excellent written, verbal, and interpersonal communication skills, with the ability to effectively interact with students, faculty, staff, and external stakeholders required.
  • Strong customer service, organizational, and critical thinking skills, with the ability to resolve issues professionally and efficiently required.
  • Demonstrated ability to manage multiple priorities, maintain a high level of accuracy and attention to detail, and consistently meet deadlines in a fast-paced environment required.
  • Proficiency in Microsoft Office applications and experience working with databases, student information systems, or other enterprise systems required.
  • Ability to work effectively with diverse populations, foster positive working relationships, and collaborate successfully in a team oriented environment required.

Nice To Haves

  • Experience in higher education, international education, admissions, enrollment services, or student affairs, or a related administrative support role.
  • Familiarity with student information systems, international student services, SEVIS, and/or immigration-related processes and documentation.

Responsibilities

  • Provides administrative support for the admission, enrollment, and onboarding of international students, assisting with the coordination of processes, documentation, and student records management.
  • Assists with student inquiries, reviews student records, maintains data accuracy across institutional systems, updates student information, and organizes required documentation in accordance with university policies and procedures.
  • Supports communication among Florida Atlantic University, third-party partners and service providers, prospective students, and campus stakeholders by responding to inquiries, routing information, and facilitating the timely exchange of information throughout the admissions and onboarding process.
  • Assists with new student onboarding activities, including orientation preparation, pre-arrival communications, immigration check-in support, and coordination of student readiness requirements.
  • Provides administrative support for immigration-related processes, including document preparation, collection and review of supporting materials, data entry, and maintenance of student records in compliance with institutional and regulatory requirements.
  • Maintains a high level of customer service while effectively managing multiple priorities, deadlines, and a high-volume workload in a dynamic international student services environment.
  • Supports Center for Global Engagement programs, initiatives, events, and operational activities through collaboration with staff, campus partners, and external stakeholders.
  • Participates in cross-training and provides general administrative and operational support across functional areas to ensure continuity of services and achievement of departmental goals and objectives.
  • Serve as a Designated School Official (DSO), upon meeting eligibility requirements (U.S. Citizen or lawful permanent resident), and perform SEVIS related actions under the direction of the Principal Designated School Official (PDSO) in compliance with federal regulations.
  • Performs other job-related duties and responsibilities as assigned in support of the mission, goals, and strategic priorities of the Center for Global Engagement.
