About The Position

Olea is seeking an organized, friendly, and proactive Administrative Support Specialist to serve as the face of their office and provide essential administrative support across multiple departments. This role involves keeping daily office operations running smoothly while supporting Human Resources, Sales, Accounting, and executive leadership. The ideal candidate enjoys variety, takes pride in organization, and thrives in a collaborative environment.

Requirements

  • High school diploma or equivalent.
  • 1–2 years of administrative, receptionist, or office coordination experience.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional judgment and discretion when handling confidential information.
  • Positive, team-oriented attitude.
  • Ability to solve problems and adapt to changing priorities.

Nice To Haves

  • Bilingual English/Spanish is a plus.

Responsibilities

  • Welcome visitors, customers, vendors, and applicants with professionalism and exceptional customer service.
  • Answer, screen, and direct incoming phone calls.
  • Manage incoming and outgoing mail and package shipments.
  • Maintain conference rooms, common areas, and overall office organization.
  • Assist with employee lunches, celebrations, and company events.
  • Monitor and replenish office, kitchen, and janitorial supplies.
  • Coordinate service calls for office equipment and facility vendors.
  • Provide administrative support to Human Resources, Sales, Accounting, and executive leadership.
  • Support Human Resources with administrative projects, compliance activities, inspections, business licenses, and registrations.
  • Assist Accounting with invoices, documentation, and remote check deposits.
  • Support Sales with trade show logistics, shipping, and demo equipment tracking.
  • Prepare correspondence, reports, spreadsheets, and business documents.
  • Organize electronic and paper filing systems.
  • Coordinate meetings, schedules, materials, catering, and follow-up tasks.
  • Assist with special projects and other administrative duties as needed.
