This is a general summary of the responsibilities associated with the position of Administrative Support Specialist III in support for the NIH, Laboratory Animal Research Contract (LARC), Task Order 6-NHLBI. This description is not all-inclusive of the duties required to successfully complete the job daily. It is intended to reflect FEFA’s contractual obligations. Employees are expected to complete all assigned duties each day as directed by management. Responsibilities of this position are that of an Administrative Support Specialist III. These responsibilities include administrative activities required for the NHLBI Animal Program, maintenance of on-site animals, equipment and facilities. PRIMARY DUTIES: Unless otherwise directed by a manager, all employees are expected to perform their duties as assigned, arrive to work at 7:00am and depart at 3:30pm. (Monday through Friday). Employees are expected to be familiar with the day-to-day activities, personnel and daily schedules within the facilities. FEFA expects each of our employees to be forward thinking and to create and assist in quality performance and contract requirements. The Administrative Support Specialist III will assist in the efficient allocation of contract resources and maintain an effective, professional relationship with both FEFA and Government staff. The primary duties for an Administrative Support Specialist III are listed below: Understand and follow all project SOPs. Prepare paperwork for supply orders and collect receiving sheets. Process requests for facility supplies using the NIH POTS system. Track supply requests/orders and complete receiving paperwork as orders are received. Serve as the primary contact for processing animal orders using the NIH-CAPS system. Review, and approve CAPS orders as the Institute Approving Official. Track and maintain accurate animal usage using the IASP. Utilize and be proficient with computer systems such as Outlook, Excel, and Word. Maintain fax, copier, and other office equipment. Place work repair orders for equipment, as necessary. Answer phone calls and receive visitors in a professional manner. Assist management with various clerical duties such as filing, copying, faxing, mailing, and shipping as needed. Prepare travel arrangements, personnel documents, coordination of NIH ID requests, property requests forms and assist with coordination and preparation of other NIH specific requests as directed by management. Maintain and assist in maintaining a current/updated animal inventory and cage card generation. Perform other duties as directed by management.
