About The Position

The Department of Health Outcomes Research and Policy within Auburn University's Harrison College of Pharmacy seeks candidates for an Administrative Support Specialist II to provide high-level administrative, fiscal, academic, and operational support to the department. This position serves as the department's sole administrative staff member and is a vital contributor to the daily success of the unit. The successful candidate must be highly organized, proactive, customer-focused, and able to work independently while exercising sound judgment and managing multiple priorities in a dynamic environment. This position is deeply embedded in a collaborative academic setting, working closely with eight faculty members, thirteen graduate students, college leadership, university offices, and external partners. The Administrative Support Specialist plays an integral role in advancing the department's teaching, research, and outreach missions through exceptional administrative, financial, academic, and operational support.

Requirements

  • High school diploma or equivalent
  • 6 years of experience in administrative support services. Experience must include at least 2 years at the preceding level or equivalent.
  • Substitution allowed for Experience: When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.

Responsibilities

  • Manage departmental fiscal operations, including purchasing, reimbursements, travel, procurement, budget monitoring, and financial documentation.
  • Provide administrative and executive support to the Department Head and departmental faculty, staff, students, and visitors.
  • Coordinate faculty personnel actions, onboarding, appointments, promotion and tenure documentation, and other human resource processes.
  • Support academic and student administration, including course scheduling, classroom coordination, graduate program support, student appointments, and student-related matters.
  • Coordinate faculty, staff, student, and candidate recruitment activities, including interview scheduling and visit logistics.
  • Plan, organize, and execute departmental meetings, seminars, workshops, conferences, recruitment events, and other special events.
  • Maintain and assist with departmental communications, websites, records, facilities access, and office operations.
  • Ensure compliance with university, college, and departmental policies and procedures while performing administrative and fiscal responsibilities.
