About The Position

This role provides receptionist and clerical support for Global Credit Union Insurance Brokers. The specialist will act as the first point of contact, manage communications, handle mail and faxes, maintain records, organize office supplies, and assist with various administrative tasks to ensure smooth office operations.

Requirements

  • High school diploma
  • One year receptionist, secretarial, or direct client/member contact experience.
  • Ability to handle multiple tasks simultaneously.
  • Must be articulate and possess the ability to communicate well with the public via telephone and in person.
  • Ability to type 45 wpm.
  • Working knowledge of Microsoft Office products (Word, Excel, Outlook).
  • Must be able to ensure the integrity and confidentiality of client information and records.

  • Tenure: Administrative Support Specialist II (Category 14) requires six months tenure in the Administrative Support Specialist II (Category 15) position with performance that meets or exceeds expectations.
  • Tenure: Administrative Support Specialist III (Category 13) requires nine months tenure in the Administrative Support Specialist II (Category 14) position with performance that meet or exceeds expectations.
  • Directly related work experience and/or accelerated training completion may be substituted for tenure.

Responsibilities

  • Act as receptionist, responding to routine inquiries and directing calls appropriately.
  • Greet and direct clients, members, and others to appropriate individuals.
  • Process incoming and outgoing mail.
  • Receive, sort, and deliver incoming faxes.
  • Maintain accurate filing of client and records, including electronic filing.
  • Monitor, order, and organize office supplies.
  • Monitor and promptly deliver referrals from Referral Tracking System (RTS), GCUIB Website, and similar systems.
  • Perform timely and accurate typing and data input as assigned.
  • Assist with scanning, photocopying, and printing projects when needed.
  • Maintain thorough knowledge of GCUIB and Credit Union products and services.
  • Perform other duties as assigned.
