About The Position

This role involves providing administrative support with moderate complexity, requiring the ability to work in multiple well-defined roles and follow standardized procedures. The position demands advanced and specialized skills, with the expectation of tracking and performing multiple tasks concurrently and resolving simple problems independently. While regular supervision is in place, the incumbent is expected to complete tasks without detailed supervision of standard activities. Work products will undergo limited review by supervisors.

Requirements

  • One to Three years of demonstrated successful experience as an Administrative Officer.
  • COR I certification, or the ability to become certified within 90 days of selection.
  • Authorized federal government purchase card holder, or the ability to become certified within 90 days of selection.
  • Experience with modern office methods, equipment and filing systems.
  • Experience with business letter and report writing techniques.
  • Experience with proofreading.
  • Experience with record keeping principles.
  • Proficiency in MS Office Suite (MS Outlook, Word, Excel, and PowerPoint).
  • Ability to conduct basic news and information research using internet sources and social media.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Outstanding attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.

Responsibilities

  • Assist with preparation of procurement documents as assigned by the Executive Officer.
  • Performs other financial and administrative duties as necessary or assigned.
  • Receives, reviews, and sorts incoming correspondence to route to the end user for proper delivery, attaching instructions for handling and follow-up to ensure prompt action.
  • Distributes office supplies.
  • Assembles background information on Division activities as needed for meetings, staff projects or special reports.
  • Manages the Division Director's calendar and monitors the Division's main phone line.
  • Manages information requests received by the department that may be made by telephone, letter, email, or in-person visits to the office.
  • Files documents for the Division.
  • Organizes and maintains file library.
  • Develops or modifies filing practices, including the use of electronic rather than paper records.
  • Performs routine clerical duties when requested.
  • Performs other office-related tasks as assigned.
