About The Position

This position is responsible for providing clerical support for the Columbus Police Department. It involves formatting and typing various documents, receiving and logging documents, answering telephones, responding to inquiries, and providing information about department policies and procedures. The role also includes logging, tracking, and maintaining records and files, managing time and attendance, processing and distributing mail, and scheduling appointments and reservations. Additionally, the position assists in budget preparation, compiles information for reports, maintains files on citizen complaints, prepares personnel forms, reviews and processes requisitions, and orders supplies and equipment. Performs other related duties as assigned.

Requirements

  • Knowledge of general office procedures.
  • Knowledge of basic budgetary and accounting principles and practices.
  • Knowledge of record keeping, report preparation, filing, and records management techniques.
  • Knowledge of work-related computer applications.
  • Skill in organizing work, setting priorities, and meeting critical deadlines.
  • Skill in the operation of computers and other standard office equipment.
  • Skill in proofreading documents.
  • Skill in oral and written communication.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Possession of a valid driver’s license to operate the motor vehicle assigned. Requirement exists at the time of hire and as a condition of continued employment.

Responsibilities

  • Formats and types letters, memos, forms, reports, and fliers.
  • Receives, logs, and records documents.
  • Answers the telephone; responds to inquiries and requests; provides information about policies, guidelines, procedures, and the status of department activities; forwards calls to the appropriate personnel.
  • Logs, tracks, and maintains records and files; maintains time and attendance records.
  • Receives, processes, and distributes department mail.
  • Schedules and arranges appointments and reservations for meetings, court dates, travel, and facility usage.
  • Assists in the preparation of the annual budget.
  • Compiles information and prepares narrative and statistical reports.
  • Maintains files on citizen complaints.
  • Prepares personnel forms for in-coming and out-going employees.
  • Reviews, checks, and processes requisitions and documents.
  • Orders supplies and equipment for the office.
  • Performs other related duties as assigned.
